Job brief:
We are currently seeking an outstanding “Rock Star” Executive Assistant to support our CEO. The ideal candidate will be an experienced, detail oriented, organized planner with the demonstrated ability to respond effectively and efficiently while maintaining an ability to “go with the flow”. The EA will take pride in presenting a polished, professional demeanor and using solid customer-service skills to solve even the thorniest of challenges. Last but certainly not least, a positive take-charge problem-solving attitude coupled with flexibility, poise under pressure, and a sense of humor will all be essential for success in this role.
The Executive Assistant will have a strong inner core with gracious outer persona and possess a high level of EQ and self-confidence. In short, as the EA you must be able to represent the CEO’s office in the absence of the CEO. The Executive Assistant will possess the ability to succeed with minimal guidance or supervision, be skilled at anticipating problems, thrives on managing multiple priorities, and is comfortable overseeing dynamic scheduling needs.
Our firm is growing rapidly, so the willingness and ability to be flexible and adjust to competing demands and responsibilities will be an essential quality for this position. You should be motivated and adaptable, and willing to step in wherever necessary to accomplish team and company goals and travel to all office locations. As an EA, you will also provide support to members of the senior management team who work in Sacramento and our Southern California offices. This position is poised to develop into a Chief of Staff or Office Manager role within 12-18 months, and the successful candidate will embrace that opportunity.
Executive Assistant Responsibilities:
· Completes a broad variety of high-level administrative tasks for the CEO including but not limited to managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence and reports; arranging complex and detailed travel plans, itineraries and agendas; and compiling documents for executive and team meetings
· Provides some oversight of projects that do not fit neatly within the organizational chart or fall between departmental areas of responsibility; acts as a trusted partner and advisor to enable the CEO and Executive Team to channel energy and focus optimally in the pursuit of company goals.
· Thrives on the ability to anticipate the needs of a busy CEO and senior management staff; understands critical path projects, project interdependencies, and important relationships that are essential to the CEO and senior management team’s success
· Self-directed and strategic in gatekeeping and schedule management; plans, coordinates and ensures the CEO’s schedule is followed and respected; maintains CEO calendar and acts as the “gatekeeper” for direct access to the CEO’s time and schedule
· Anticipates CEO and Executive Team needs, making sure all work materials are available for a successful workday (i.e. providing daily schedules, agendas for meetings, calls/appointments confirmed, ensures meals are ordered, etc.)
· Screens and directs phone calls and distributes correspondence
· Acts as the point of contact between CEO and clients; readily able to communicate with clarity and professionalism on behalf of the CEO
· Assists with special projects, including meeting and event coordination; researches and compiles information as needed; coordinates with other department leads as needed (finance, accounting, human resources, etc.) to accomplish shared goals
Qualifications:
· Experience: Minimum of 5 years of demonstrated experience as an executive assistant, preferably to VP and above or C-level executives; ideal candidates will have supported at least one C-level executive for at least one year
· Education: Bachelor’s degree preferred; Associate Degree with successfully demonstrated EA experience is acceptable
· Communication: Must be proactive and responsive; acknowledges and promptly replies when given a task or project; provides ongoing updates as needed, keeps CEO and others “in the loop”
- Outstanding verbal and written communication skills; ability to communicate with diplomacy and tact across all levels of the organization and with outside customers and clients
- Impeccable attention to detail; owns work and receives feedback with grace
- Strong interpersonal skills; experience working with high-level information, and the ability to exercise confidentiality and discretion
- Experience building trust and nurturing relationships across all organizational departments
- Ability to exercise sound judgment and independent decision-making
· Time Management: Must be proactive and stay ahead of the CEO’s schedule, providing reminders as needed to stay timely on all fronts; actively manages own schedule, reprioritizing on a daily basis (or more often) to ensure key deadlines are met
- Must be able to meet deadlines in a fast-paced, quickly changing environment; must be ready, willing, and able to manage multiple projects and simultaneous completing priorities
- Excellent organizational skills with an ability to think proactively; ability to organize (and reorganize as needed) daily workload by priorities
· People Management: Some experience managing subordinate staff is desired but not required; the ideal candidate should be ready, willing, and eager to step into a role managing and directing the work of other administrative staff members
· Technical Skills: Advanced proficiency in Microsoft Office (Outlook 365, Word, Excel and Teams or similar teamwork platform), must be technically adept, quickly able to learn new programs and should be able to readily share knowledge with others
- Experience working with remote-based staff utilizing various technical programs and method to ensure no lapse in communication or level of service
· Develop and implements process improvements to optimize workflows, organizational structure and business operations
