Our company, a rapidly growing and exciting small business in the pet supplement manufacturing space, is looking for a new Executive Assistant to perform a variety of administrative tasks and support our company’s CEO.
The Executive Assistant’s responsibilities include managing calendars, project management, customer service via telephone and email, and coordinating a team of on-site and remote employees and executives. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance. Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to our CEO.
Duties and Responsibilities
- Act as the point of contact among CEO, Board, employees, clients and other external partners.
- Manage information flow in a timely and accurate manner
- Manage CEO’s calendar and set up meetings
- Make travel and accommodation arrangements
- Act as an office manager by keeping up with office supply and inventory
- Fulfillment of packages as needed
- Format information for internal and external communication – memos, emails, presentations, reports
- Take minutes during meetings as needed
- Screen and direct phone calls and distribute correspondence
- Organize and maintain the office filing system
Skills
- Work experience as an Executive Assistant, Personal Assistant or similar role
- Basic knowledge about pets (dogs, cats, and optionally, horses)
- Excellent MS Office knowledge
- Outstanding organizational and time management skills
- Familiarity with office gadgets and applications (e.g. e-calendars and copy machines)
- Excellent verbal and written communications skills
- Discretion and confidentiality
- High School degree with a preference for candidates with a Bachelor’s Degree
- Certification as a Professional Assistant, Project Manager, or other relevant certifications or training are a plus
A strong preference is given to individuals who have or enjoy pets, even though this position does not require interaction with pets.
