Seeking a Director of Operations

We are seeking a leader for our team of professionals, with experience in running a medical practice, sales, business development, and team management background. The winning candidate must thrive in a hands-on fashion, doing “whatever it takes” to help the team grow. The candidate has substantial experience driving sales and results, coaching and mentoring all patient coordinators and clinical staff, with the passion and experience to inspire a business culture of continuous improvement. The candidate must have experience demonstrating the wisdom of managing a team of all key employees from inspiration, commitment, passion, and performance. This position reports directly to our CEO
Main Responsibilities:
- Selling – Train with a top consulting firm and oversee existing patient coordinators, plus assist personally when needed, to sell esthetic and laser procedures to prospective patients through extensive phone conversations and live consultations. One or more days per week will be focused on selling, sales training, and other sales-related functions. Comfort with quoting and selling procedures of varying price ranges, to a broad range of clientele and able to fulfill on our mission: to continuously maintain relationships with each patient, for all services, for life. You must ensure that the patients receive the highest level of care throughout all aspects of their clinic experience and high-touch treatment solutions to meet their aesthetic goals.
- Team Management – help to hire and train employees, as well as onboard new providers and train them in sales, plus manage them positively on an ongoing basis. Build positive relationships with direct reports with a healthy balance between relationship-building and holding accountability. You ensure the service providers are supported to perform with the highest standard of excellence and compliance in order to exceed patient outcomes and generate revenue.
- Organization and Efficiency – Must be driven towards task completion and organization. Each week, the practice manager will ensure the providerâs schedule and time is used to maximum efficiency, efforts are made to minimize cancellations and no shows, conversion/patient selection rates are high, patient flow is consistent, and the office flow is well orchestrated. Knowledge of Mindbody is vital.
- Planning – Initially, the candidate will work with the CEO to establish a 3-month plan as well as an annual plan – this will include sales and expense projection as well as budgeting, but also extend to big picture items including the build out and development of a rapidly expanding medical esthetic practice. The CEO is seeking a leader, (beyond a person to simply delegate work to) who can present and execute well thought-out ideas and plans. You are ensuring CEO is supported in fulfilling the vision of the clinic and able to ensure the development of the future that Esthetic Solutions is committed to fulfilling. You operate as an extension of company culture, vision, mission and values.
- Daily Minutiae – like any practice the practice manager will be responsible for OSHA and HIPAA compliance, maintaining employee files and dealing with basic HR duties, meeting with vendors, referring doctors, insurance billing, website items, etc.

- Strong sales and business development background
- Passionate leadership to ensure best business practices (guest retention, team productivity, pre-booking, service and retail education, benchmarks, etc.)
- Possess strong environmental awareness and the ability to respond effectively and quickly to situations as they arise
- Previous experience related to salon, spa, hospitality or retail management
- Have the ability to build/motivate a strong, productive team
- Ability to multi-task proficiently
- Ability to perform job functions with minimal supervision
- Ability to think clearly, maintain concentration and make concise decisions
- Ability to prioritize, organize and follow-up in a timely manner

- Ability to learn, master and train on client booking software

- Be willing to work a flexible schedule of 40+ hours including nights, weekends and open holidays to support spa hours of operations.

Key Relationships
- CEO: Works closely with CEO to develop and execute operational business procedures to ensure smooth functioning of clinic.
- Human Resources Director: Collaborates on the creation and implementation of strategic hiring and onboarding processes to fulfill on company vision, while ensuring staff members are successful in their roles and clear on their objectives as it pertains to company vision.
- Clinic Staff: Demonstrates leadership and ensures that all staff are effectively onboarded, trained, and managed effectively in their roles and accountability performance measures. Ensures all clinic staff are empowered in the successful performance of their job descriptions and responsibilities, and the actions and behaviors for achievement of their performance metrics.
- Service Providers: Demonstrates leadership and ensures that all Providers are effectively onboarded, trained, effective in their role and accountable for performance measures. Ensures Providers are compliant with regulatory boards, are clear of their job descriptions, contractual agreements and responsibilities, the various goals of the company, including their sales goals, and how their role fulfills on achieving those goals.
- Medical Director:
- Contractors: Determines effective contracted individuals or companies per the needs of the business to ensure successful outcomes and efficient timely completion of projects and measures
- Vendors: Establishes, negotiates, and maintains relationships as needed per the business to ensure reliable, successful and fiscally responsible products and services
- Clients/Customers: Ensures that clients are taken care of per the values of the company and complies with client retention measures as necessary with support of staff and through effective management
Education and Experience Requirements:
- Minimum of 2 years previous medical, spa, salon or retail leadership required, with sales driven outcomes and results
- Minimum 1-year experience in Executive Management Role required
- Preference for a current state aesthetics, cosmetology, or medical or nursing licensure
- Preference for education level of MBA or higher
Full-time hours, must be able to work 1-2 Saturdays/month, possibly a later evening several times per month, depending on clinic needs.
Salary is commensurate with experience and certification s; additional compensation structures available upon acceptance of job position.
