Director of Finance
Maine Maritime Museum, a nationally recognized, state-wide cultural institution located on the Kennebec River in Bath, seeks a Director of Finance, a key member of the leadership team to help the museum continue to grow and excel. The Director of Finance is responsible for financial planning and management including preparation of monthly income statements and financial reports, budgeting, forecasts, and leading the annual audit process; and human resource administration including payroll and benefits management. The Director supports business activities including the museum store, admissions, facility rentals, and is the primary IT vendor contact. Reports to the Executive Director, works closely with the Board’s finance committee, auditors, bank, and investment manager, and oversees two direct reports plus occasional volunteers.
Qualifications
B.A. or B.S. in Accounting, Management, or Finance, with at least five years of relevant financial, supervisory, strategic, and board interaction experience, preferably with a not-for-profit organization; knowledge of accounting and reporting software, preferably Blackbaud Financial Edge; experience with human resources administration and general understanding of current law; ability to effectively communicate financial concepts to staff and board members and effectively collaborate with programmatic and fundraising colleagues. Excellent communication and relationship building skills with an ability to prioritize, negotiate, and work with a variety of internal and external stakeholders.

Specific Duties Include
Finance
- Hands-on position. Manage general accounting including accounts payable, operating cash flow, temporarily restricted funds, and permanently restricted funds. Track cash on hand to meet monthly cash flow needs. Track temporarily restricted and permanently restricted accounts in accordance with donor directives and audit requirements.
- Ensure proper recording and reconciliation of all incoming and outgoing financial transactions, cash receipts, cash disbursements, bank statements, credit cards statements and account spreadsheets. Facilitate monthly close; prepare monthly financials and present financials to staff, committees, and the Board of Trustees as directed by the Executive Director.
- Work with the Executive Director to lead annual planning and preparation of annual budget, administer and review all financial plans and budgets, monitor progress and changes, and keep management informed of the organization’s financial status by preparing regular financial reports and other financial reports/projections as requested.
- Coordinate and facilitate the annual audit. Create adjusting entries and closing entries and prepare schedules and reconciliations for the independent audit firm at year-end. Facilitate the preparation of audited financial statements and tax returns. Act as liaison with accountants, banks, and investment managers. Prepare 990 and 990T from audited statements.
- Effectively collaborate with and communicate financial information to the Board of Trustees.
- Works closely with appropriate staff to promote and ensure institution-wide knowledge of MMM’s financial practices and condition and help develop staff understanding of financial matters related to their areas of responsibility.
- Assist Development Office with grant applications and grant reporting by preparing required financial information. Ensure proper recording of all contributed support.
- Oversee, monitor, and evaluate internal controls for all financial processes and transactions.Human Resources
- Oversee Office Assistant to maintain and update payroll and personnel records including vacation, sick-time and other benefits; collect time records and submit bi-weekly payroll information to payroll service. Oversee and monitor payroll service’s withholdings and deposits of requisite taxes and production of all federal and state quarterly reports and W-2’s, etc. in a timely fashion.
- Act as group administrator of the Museum health plan and 403b retirement plan.
- Act as liaison with insurance company regarding workers’ compensation and other insurance claims and reports.
- Oversee Office Assistant in onboarding new staff, ensuring they are familiar with museum human resources policies and ensure that MMM practices and policies are in compliance with current law. Work collaboratively with the board HR Committee to strive to meet best practices in the field, and foster the development of a dynamic, supportive, and productive work culture.
- Represent staff on the Board’s HR Committee. Maintain complete confidentiality of all personnel and payroll information.Other
- Maintain files for legal documents, permits, contracts and grants for all departments. Serve as general contact for city and state issues.
- Manage all insurance coverage including renewals, changes, and claims.
- Serve as IT administrator (servers, internet access, hardware and software upgrades) including acting as primary contact with museum’s technology vendor to ensure all systems function optimally within budget constraints.
- Attend and present financial information at the meetings of the Board of Trustees, Executive Committee, Finance Committee, Investment Committee, Human Resources Committee, Building and Grounds Committee, and any other meetings as required.
