Job Title: Head of Enrollment
Department: Outreach (Sales)
Position Summary: Reporting to the Sales and Outreach Manager, the Head of Enrollment is responsible for overseeing all aspects of student enrollment management at IMG Academy. Guide over 2,000 returning students, new students, and their families through the enrollment process. Process includes creating, distributing, and finalizing enrollment agreements.
Primary Responsibilities
Process
- Prepare, create, distribute, and finalize student enrollment agreements
- Ensure proper completion of the enrollment agreement in coordination of IMG Academy policies and procedures
- Reconciles completed enrollment agreements with IMG Academy accounting and finance department
- Manages all enrollment agreement revisions and adjustments
- Effectively build, revise, and manage databases for enrollment tracking and reporting
- Utilize CRM system daily to track communication and process on all student enrollments
Communication
- Provide exceptional customer service via prompt and accurate communication with current and potential IMG Academy families
- Facilitate and communicate effectively with families on enrollment agreement status, including when an enrollment agreement is set to expire
- Communicate regularly with IMG Academy student-athletes on the status and progress of their respective families through the enrollment process
Oversight
- Responsible for overseeing the enrollment office and all responsibilities associated with the division
- Oversees enrollment office hours of operation. Hours to flex during peak enrollment season or based on demand.
- Supervises enrollment office coordinator hours, responsibilities, and training
Collaboration
- Effectively build relationships with and prioritize the requests/needs of the Student-Athlete Advisor team, ensuring effective communication
- Collaborate with Senior Leadership and the Outreach Director/Manager to ensure best practices and identify new opportunities for efficiencies and growth
- Closely communicate with Reporting Analyst, CRM Analyst, and Director of Outreach Operations to facilitate and enhance weekly reporting metrics
- Work closely with the Bursar/Assistant Bursar and the rest of the Accounting team to properly organize and archive enrollment contracts, ensuring effective reconciliation
- Communicate with admissions office on a regular basis regarding applicant status and ensuring student enrollment agreement coincides with such status
- Spearhead communication with Housing and Accommodations staff members, ensuring laundry/housing upgrades are effectively communicated/reconciled
Goals
- Successfully contribute to achieving annual enrollment targets set forth by senior leadership
- Effectively obtain all student enrollment agreements in conjunction with their expiration dates
- Maintain accurate enrollment data and status tracking in real time
Qualifications:
Required Knowledge, Skills and Abilities
- Bachelor’s degree required
- Advanced Microsoft Excel skills are required (Data Validation, IF formulas, VLOOKUP, Pivot Tables, Slicers, Conditional Formatting, etc.)
- Advanced knowledge and ability to use CRM systems
- Basic understanding of sales processes/pipeline management is preferred
- Highly organized and prepared; flexible in meeting the needs of multiple departments in a timely fashion
- Demonstrated ability to independently manage projects and deliver superior results
- Proven ability to multi-task while handling a wide array of responsibilities
- Experience managing and prioritizing a high volume of emails (400 to 500 per week during peak season)
- Experience communicating highly-sensitive information amongst multiple departments
- Strong commitment to customer service and the student-athletes’ and their families’ experience
Preferred Knowledge, Skills and Abilities
- Coursework in Information Systems, Operations Research, Statistics, Economics or other analytical field is preferred
- Experience using Power BI and/or Tableau is sought, but not required
- Knowledge of electronic contract signing software is preferred (i.e. – Adobe, Signable, etc.)
- Knowledge of SSS financial aid portal is preferred
- Some knowledge of database management (Access, SQL, ETL Pipelines) is sought, but not required
- Bilingual
Physical Demands and Work Environment
- Ability to lift, move, push and pull equipment or boxes in excess of 40lbs.
- Should be able to handle outdoor temperatures for a reasonable period of time.
- Must be able to move around campus which includes gym, turf, fields, etc.
Ability to work flexible hours to include nights, weekends and holidays is required
