Job Summary:[

Independent of Supervision, delivers administrative services to Executives. Honoring the tenants of a high performing
organization, the Executive Assistant delivers the following professional services to Executives with excellence: general
office administration and tasks, project management, utilizes office information systems for on-demand information
service delivery, professional communication, service excellence to internal and external customers to include
professionally managing customer needs and concerns, anticipating and responding to customer requests, or making
active referral to subject matter expert/decision-maker that can fulfill the customer’s request.

]Core Responsibilities:


Office Administration

  • Create and continuously improve highly effective office systems, processes and procedures by analyzing current and

anticipated office needs and providing an efficiently organized means of meeting business needs. The EA delivers
services across the organization and provides services to cover other EA’s who are out of the office (on PTO, a work
related business event or conference, etc.) and/or supports the organization’s business needs.

  • Using Business Software, systems and other mechanisms, provides the highest level of professional administrative

support to include: calendaring, travel planning, conference and event planning, reporting, data analysis, word
processing, document and presentation production, research, email, filing (electronic and other), meeting minutes and
note taking, forms management, rolodex management, time keeping, copy/fax/scan/telephone, etc.

Project Management

  • Manages multiple concurrent projects, processes & assignments, ensuring quality outcomes delivered on time/on

budget.

  • Assists with project planning, prioritization and project organization to ensure successful project focus and outcomes.
  • Follows up with others on project deliverables to ensure project/goal accomplishment within established timeframes.


Information Administration

  • Manage office information, including hard copy and electronic files and data, ensuring appropriate confidentiality of

information access and retrieval.

  • Utilizes office information systems for on-demand information retrieval, preparation of communications and reports.


Customer Service

  • Provides service excellence to internal & external customers through office reception practices, communication

management practices, professionally managing customer needs & concerns, anticipating & responding to customer
requests, or making active referral to subject matter expert/decision-maker that can fulfill the customer’s request.

Communication

  • Ensures essential communication is composed, produced, organized, and disseminated for specific recipients, including

managing electronic and hard copy mail.


Required Experience:
Three years of previous administrative/executive assistant or related experience. Strong skills in use of Microsoft Office applications, including Word, Excel, PowerPoint; ability to utilize document mergers, mail mergers, presentation design, and pivot tables; demonstrated ability to produce documents with high accuracy and grammatically correct. Preferred: Five years of related experience.
