Summary:

The Executive Assistant (EA) serves as the assistant to the President & CEO. They provide support for a wide range of functions involving the leadership of the Center (Trustees, President & CEO, and Senior Staff) and is entrusted with sensitive matters requiring discretion and confidentiality.

The EA will be the gatekeeper, organizer and implementer protecting the President & CEO’s time and removing obstacles from her path. They will continually improve systems to create efficiencies.

This individual thrives when working in a fast-paced environment and can handle and execute multiple demands on an ongoing basis within various situations and circumstances. Their strong organization skills create order out of chaos and interruptions. They possess a strong intuitive understanding of the business, situations, and people, and act proactively to ensure things run smoothly and effectively. This individual must be readily available and willing to take on new tasks (on top of ongoing and recurring tasks/responsibilities) with a positive attitude, minimal direction, efficiency, elegance and a true sense of urgency.

The ideal candidate is an efficient multitasker with strong attention to detail. They can effectively prioritize and react with appropriate levels of urgency to situations and events that require a quick response or turnaround. The candidate is highly self-motivated with a strong sense of initiative.

Responsibilities include but are not limited to:

  • Management of the President & CEO’s schedule with extensive calendaring.
  • Effectively prioritize numerous requests and incoming information.
  • Provide detailed data, information, and resources in preparation for meetings.
  • Submit corporate credit card and executive credit card expense reports.
  • Handle miscellaneous responsibilities, such as ordering and setting up food and beverages for meetings.


The ideal candidate:

Has excellent communication skills and the ability to switch gears at a moment’s notice. They maintain a high level of integrity and discretion in handling confidential information. They carry themselves professionally and represent Arizona Science Center both internally and externally.


Qualifications:

  • Bachelor’s degree (B. A.) from four-year college or university; or a minimum of four years related experience and/or training; or equivalent combination of education and experience.
  • Ability to exercise quick and accurate discernment and maintain the confidentiality of company and personal information.
  • An effective and dedicated problem-solver, analyzing all situations in order to anticipate problems before they arise.
  • Experience working independently, setting priorities, and working under pressure to meet changing deadlines. Accepts last-minute changes and can respond to needs quickly while maintaining professionalism.
  • Detail-oriented and excellent organization skills.
  • Excellent interpersonal skills, can-do attitude and ability to work well with different personalities.
  • Excellent written, oral, and interpersonal communication skills.
  • Highly organized and efficient.
  • Able to juggle conflicting demands easily and cheerfully, prioritizing and communicating as required.
  • Will hold an Arizona Notary Public commission.
  • Proficient at Microsoft Office or comparable software.
