Stanford Pre-Collegiate Studies (SPCS) is an innovative center for pre-collegiate education committed to Stanford’s ideals of academic excellence and respect for diversity of backgrounds and experiences. SPCS brings together intellectually curious students from around the world in engaging learning communities, designed to foster critical thinking, promote personal growth, and inspire dedication to lifelong learning in the next generation of global citizens. The offerings of Stanford Pre-Collegiate Studies include a diverse array of academic enrichment programs that take place on the Stanford campus during the summer, as well as during the school year. Summer programs include the Pre-Collegiate Summer Institutes, the Stanford University Mathematics Camp (SUMaC), the Summer Humanities Institute, the Pre-Collegiate International Institutes and the Stanford Medical Youth Science Program (SMYSP), altogether hosting over 2,400 high school students each summer. In addition, SPCS offers a variety of Math, Science and Humanities Circles, providing enrichment to several hundred K-12 students during the school year.
The Associate Director of Academic Programs manages a range of responsibilities associated with the academic components of the Pre-Collegiate Summer Institutes and other pre-collegiate programs. The Associate Director takes the lead role in recruitment, selection, hiring, training and supervision of contingent instructional staff across multiple disciplines, and provides oversight of instruction while programs are in session. The Associate Director is responsible for course design, evaluation and reporting, and collaborates on admissions and marketing.
The ideal candidate has a strong academic background, work experience in a university environment, teaching and curriculum experience at the high school or university level, and an interest in contributing to an energetic, collaborative and inclusive workplace.
- Develops summer-program course offerings, and collaborates with Director of SPCS Programs to make final curriculum decisions.
- Recruits, interviews, selects, hires and trains all contingent instructional staff (typically advanced PhDs, postdocs, or other professionals).
- Advises instructional staff on problem solving classroom issues involving teaching assistants, students, and/or parents.
- Oversees post-program evaluation processes, including participant documentation (certificates of completion, letters of evaluation) and student surveys (feedback from participants regarding the residential and instructional program).
- Prepares annual program reports.
- Collaborates with Marketing to advertise programs, update program websites.
- Coordinates with other program staff, including the Residential, Operations, and Administrative teams, on course enrollments, contingent staffing requirements, and other programmatic needs related to instruction.
- Collaborates on the course admissions process. Evaluate and recommend decisions on program eligibility based specific course requirements. Review decisions recommended by other staff.
- Collaborate with the Residential Education team to help resolve program issues and concerns related to academic participation; interpret policies, and mediate complex and sensitive issues.
- Collaborate and resolve multi-dimensional matters in response to participant or staff incidents when related to the academic programs.
- Compile and evaluate course data from multiple sources, prepare reports and presentations summarizing trends in the academic program.
- Identify and evaluate IT needs, including systems for data, reporting, and improved workflows, related to academic programs.
- Develop and implement plans for outreach efforts, develop and maintain external community and serve as liaison to represent SPCS at meetings and events related to SPCS academic programs.
- Support and contribute to development of business practices and organizational change to improve processes and workflow related to academic programs.
- May assist in financial processes and development of budgets.
- Serve as a key member of department-wide teams and projects.
- Train and supervise other staff and temporary workers.
- Administer, implement, and interpret university and department policies and procedures on issues as they relate to the planning, preparation, and implementation of programs. Identify, clarify, and resolve highly visible or complex issues with substantial significance and impact that may span multiple areas, using advanced technical and professional knowledge requiring independent judgment.
- Minimum: Bachelor’s degree and three years of relevant experience, or combination of education and relevant experience. Strongly Preferred: PhD, or MA plus 3-5 years of previous experience in a similar position.
- Required: Teaching experience in high school and/or undergraduate environments.
- Strong communication skills to clearly and effectively communicate information to internal and external audiences, client groups, and management, both verbally and in writing.
- Advanced analysis and problem solving skills.
- Advanced customer service skills.
- Strong computer skills, including experience with Microsoft Office Suite, particularly Excel. Relevant computer systems/technology experience. Experience with, or ability to learn, InDesign, Drupal, and/or SQL would all be helpful.
- Ability to ensure and apply compliance with legal, financial, and university policies and external regulations.
- Understanding of financial transactions, or ability to learn.
- Excellent judgment, integrity, flexibility, and creativity as well as a positive attitude and superior problem solving skills.
- Ability to frequently sit, and consistently perform desk-based computer and other office-related tasks
In addition, preferred skills and qualities include:
- Advanced excel skills and experience with database administration.
- Experience/flexibility with frequent extended work hours or non-standard hours based on project or business needs during peak periods. This position has a demanding schedule from January through late August and may have some evening and weekend work during this period, as well as on-call responsibilities during the summer and the ability to respond quickly to situations that arise during the program.
