Executive Assistant to CEO

Purpose: The Executive Assistant is responsible for providing all administrative support as needed to the Chief Executive Officer (CEO). Also responsible for administrative support to the Chief Medical Officer; human resources functions as assigned; payroll processing; accounts payable processing; and ordering of non-medical supplies.

PART I: ESSENTIAL POSITION FUNCTION AND DUTIES

1. Provides day-to-day administrative assistance to the CEO in all tasks requested

2. Provides periodic support to the Chief Operating Officer, Chief Financial Officer and Chief Medical Officer as requested, and as approved by the CEO

3. Provides periodic support to the Board of Directors as requested, and as approved by the CEO

4. Takes and transcribes minutes of Board and committee meetings

5. Performs basic bookkeeping functions with petty cash.

6. Maintains all administrative files of WWFHC

7. Serves as liaison with building security vendors

8. Maintains building keys

9. Serves as a liaison with the WWFHC landlord on facility related issues

10. Opens, sorts and screens all incoming mail

11. Performs other functions as determined by the CEO.

PART III: EDUCATION, EXPERIENCE

1. Bachelors Degree or demonstrated relative experience in administrative assistant job functions

2. 3 years word processing and spreadsheet, and keyboard skills (Microsoft Office Proficiency)

3. 1 year basic bookkeeping and experience working with administrative activities necessary for working with Board of Director support activities

4. 1 year demonstrated organization skills including managing meeting documentations, taking and transcribing minutes, maintaining calendars, governance documents and being caretaker for organizations policies, procedures, contracts, etc.

5. 1 year experience functioning at the executive assistant level

6. 1 year demonstrated experience in managing administrative requirements for Grants and funding sources requirements

PART IV: KNOWLEDGE, SKILLS AND ABILITIES

  • Microsoft Office proficiency as well as strong keyboard skills
  • Basic bookkeeping experience
  • Demonstrated experience in managing administrative requirements for Grants and funding sources requirements
  • Basic bookkeeping and experience working with administrative activities necessary for working with Board of Director support activities
  • Strong organization skills including managing meeting documentations, taking and transcribing minutes, maintaining calendars, governance documents and being caretaker for organizations policies, procedures, contracts, etc.
  • Skilled with working in a complex work environment
  • Ability to maintain confidentiality at all times and maintain organizationally appropriate relationships
  • Knowledge of organization policies and procedures.
  • Skilled in exercising initiative, appropriate judgment, problem-solving and decision making.
  • Skilled in developing and maintaining effective relationships with program participants
