The Events Project Manager is responsible for the project management arm of Corporate Services, supporting the department’s 400+ events and events professionals implementing events. This role will ensure tools and processes are leveraged the right way to track and measure event progress, create efficiencies, highlight risks to mitigate, improve visibility to escalation items, improve transparency, and ensure Smartsheet dashboard development. Develops and maintains training on project management for Corporate Services associates responsible for initiatives. Works on special projects as assigned by the Technology and Innovation Director and/or the Chief Services Officer.
]Responsibilities:
- Manages the appropriate leverage of project management tools across Corporate Services, especially as it pertains to events and other special projects.
- Assists with ensuring that events in the dashboard are aligned to the department’s strategic goals.
- Manage the delivery of special projects across the department using a blend of project management best-practices (processes and tools) and personal experience.
- Templatize and ensure department SOP’s are followed as part of the project plan.
- Build dashboards and dashboard reporting structure/format that will provide critically important data to the Corporate Services Leadership and project teams to ensure events and projects are on track. Determine the cadence at which to run reports and meet to discuss risk and issues.
- Regularly meet with stakeholders to facilitate open communication and idea sharing.
- Coach and provide guidance to Event Managers on all areas of project management and managing their events.
- Develop and institutionalize best practice requirements when it comes to monitoring event health, deliverables, and improvements.
- Continuously assesses performance KPIs; research and develop new capabilities and systemically apply learning and knowledge in how Corporate Services leverages project management tools.
- Build and manage a library of best practices to facilitate better and more proactive event project management.
- Support the organization with easy to follow instructions on how to do business without adding administration.
- Serve as the subject matter expert for Smartsheet within the department.
- Develop and maintain a community of sharing best practices across the enterprise in partnership with YPO’s PMO team.
- Ensure Event Managers are providing timely updates on events for dashboard reporting to the Corporate Leadership Team, Team Leads, Event Managers, and stakeholders.
Qualifications:
SKILLS
- Certified PMP certification in project management.
- Experience working with Smartsheet and other project management tools.
- Preparing professional project documentation to support each phase of the project management process (weekly status reports, KPI’s).
- Strong proactive communication skills (internally & externally).
- Creating and maintaining detailed project plans including identifying target milestones
- Ability to juggle changing priorities while maintaining a positive attitude in the face of changing.
- Efficient and highly effective communicator, both written and verbal.
- Able to maintain a positive work atmosphere and interaction with associates, vendors and members.
- Demonstrated passion for solving problems and operational excellence.
- Focused, organized, and results oriented.

EXPERIENCE/BACKGROUND
- 5+ years delivering complex, mission critical solutions
- 5+ years hands-on and working knowledge of project and program management
- Previous experience running a PMO preferred
- Technically proficient with Smartsheet, MS Visio, MS Office Suite
EDUCATION/TRAINING/CERTIFICATION
- Bachelor’s degree in Business Administration, or another related field or commensurate experience.
- Project Management Certified required

- Ability to work flexible hours to accommodate a global organization.
- Minimal travel required.
