Position Summary:

We have an exciting opportunity to join our team as a Facilities Manager.

In this role, the Facilities Manager, Clinical Portfolio will be responsible for supporting and coordinating all aspects of real estate development and facilities management functions for off-site clinical operations. In this capacity, the Facilities Manager will report directly to the Assistant Director, Portfolio Operations up to the Senior Director, Real Estate and the Vice President, Real Estate and Housing. This position requires experience in facilities operations and management, real estate, budgeting, and project management in a clinical environment.


Job Responsibilities:

  • Ensuring coordinated systems interoperability through mutual cooperation with institutional personnel and outside vendors on specific projects.
  • Coordinating project requirements for shutdowns, tie-ins, and contractor access.
  • Coordinating other capital projects, renovations, and equipment installations with RED+F project managers.
  • Assisting Project Managers in the implementation of complex upgrades and installations, providing project management and/or technical consulting on complex projects.
  • Participating in special projects and performing other duties as required.
  • Interfacing and supporting other departments in the Medical Center including Facilities, Environmental Services, MCIT, Security, Design/Construction and Finance.
  • Maintaining appropriate documentation and records related to all supplies, vendors, contracts, and project work, and communication.
  • Developing annual budgets for space in the clinical portfolio and ensuring that each property is managed within the approved expense budgets.
  • Monitoring vendor maintenance responsiveness and overall performance, tracking maintenance calls through work order management system, following the RED&F procurement policy and procedures for all outside vendors and negotiate the best pricing possible.
  • Ensuring properties are managed in compliance with all applicable laws, codes, and standards, including any requirements of third-party regulators such as DOH, The Joint Commission, CMS, and others.
  • Supervising maintenance of facility infrastructure and mechanical equipment and ensuring compliance with all regulations governing such equipment
  • Managing emergencies that arise with respect to the clinical facilities and coordinating appropriate responses and updates to the end users of the space.
  • Building relationships with landlords in leased space and ensuring appropriate support for tenant issues, enforcing lease provisions and requirements, as appropriate.
  • Establishing and maintaining a high level of customer satisfaction with the end-users of the clinical space, including responding to requests or concerns in a timely and effective manner
  • Facility Operations and Maintenance: Managing day to day operations of all clinical off-site facilities, including management of the tenant coordinators and building staff to ensure properties are well-maintained and operated to the standards appropriate to the use.


Minimum Qualifications:

To qualify you must have a Bachelor’s degree is preferred with at least 5 years’ relevant, full-time experience in facilities management, real estate, planning and project management in the field of healthcare, life sciences, or a related area. Strong planning and management experience, oral and written presentation skills, and highly-developed communication skills are essential to success in this role.


Preferred Qualifications:

Ability to synthesize information from many sources to create, articulate, and implement management strategies that will improve service delivery efficiencies and alignment of goals and expectations between the RED+F and the portfolio tenants. Capacity and initiative to function independently, assuming ownership and responsibility for daily management and the ability to follow-through on assignments without regular supervision or prompting. Familiarity with major planning and real estate development processes (applicability in the healthcare arena is preferred but not essential). Leadership to drive projects and work within diverse, cross-functional teams to achieve common objectives and deliver results. Exceptional organizational skills and keen attention to detail and accuracy with an ability to manage multiple projects, prioritize work, manage timelines, and control project budgets. Proficiency with the technology and media necessary to communicate and reach our tenants in a manner that is open, accessible, and clear. Discipline, maturity, and composure necessary to perform professionally within a demanding environment and navigate a challenging and ever-changing landscape.
