Role Summary
This role is the hub of the office. It’s about creating an environment where people can succeed, removing obstacles that impede our progress, and facilitating communication. The role provides for the smooth and effective operation of the company. The work can be grouped into these categories:

  • Executive support to the CEO (25%)
  • Office management (50%)
  • Project support to the leadership team (25%)


About You

You’ve been an executive assistant and office manager in a fast-growing company like ours. You are the rare individual who has strong attention to detail and the drive to own and complete your work. You analyze situations and anticipate our needs instead of waiting to be told what to do. You’re accustomed to a great deal of change and pressure, with shifting priorities, deadlines, and goals, and feed off the energy created by it. You work with a sense of urgency, can juggle multiple projects simultaneously and get things done by driving for results. In short, you are the hub of the office.


Key Responsibilities

  • Responsible for scheduling and managing CEO’s calendars, including prioritizing and resolving competing demands, proactively scheduling important meetings with internal and external individuals and maintaining sufficient blocks of working time;
  • Support and coordinate meeting arrangements including agenda setting, video conferences, and note taking;
  • Schedule team meetings and events, ensuring our company calendar is always up-to-date and accurate;
  • Manage and coordinate travel schedules for all senior team members;
  • Order weekly lunches and ensure snacks and office supplies stay well-stocked;
  • Manage office food and celebrations budget;
  • Accurately track company expenses by managing employee expense reporting, credit cards, and receipts;
  • Manage the filing system of sales tax permits and documentation, as well as W-9 and 1099 administration;
  • Assist in employee onboarding, including technical setup of new hire laptops, email setup, and account access;
  • Betterment, retreat, and team building event planning.


Requirements

  • 3+ years of experience as an Executive Assistant supporting C-level executives;
  • Exceptional written and verbal communication skills;
  • Obsessive attention to detail;
  • Resourceful team-player with the ability to also be extremely effective independently;
  • Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment;
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response;
  • Problem-solver mindset and flawless execution across the board;
  • A natural go-getter with the ability to troubleshoot anything;
  • Experience organizing meetings, preparing and monitoring budgets, expenses, and expense reports, assisting with travel and hotel accommodations, and providing general office operations support;
  • Strong work ethic, keen attention to detail, and highly organized with the ability to multitask in a fast-paced environment;
  • Tech-savvy;
  • Proficient in Mac Mail, Google Suite, iCal management, and MS Office.

Location:
This is a full-time, in-office position in our Austin office. We’re currently located in Bee Cave, but will be moving at the end of the year to a new location in south Austin.
