Supervisory and administrative work managing the operations of and assisting with the management, planning, organizing and implementation of special events, community events, cultural events and community outreach under the guidance of the Parks and Recreation Manager II or Superintendent of Community Events. Work involves overseeing and organizing various community events ranging from small banquets to large music festivals. Work involves ensuring that events are successful and cost-effective, budget monitoring and time constraints. Responsibilities include preparing and disseminating logistic memos, create and manage event files, staffing for designated departments and subcontractors, coordinating physical equipment and production set up, completing event summary notes, develop marketing and promotion techniques, revenue collection/deposits and compiling event billing. Duties include assisting in the development and management of operating budgets; researching and recommending changes in events and operations. Supervision is exercised over a small staff of subordinates. Work is reviewed by inspection and observation of condition of facilities and areas maintained, of recreational programs and services delivered, and by written and oral reports and recorded revenue.
- Plans, directs and implements a varied program of parks and recreation activities and services, special events, community events, cultural events and community outreach to meet the needs of the public.
- Coordinates and facilitates special events for the city, including themes, concepts, and objectives in relation to organizational goals and commission initiatives.
- Facilitate various sponsorship sale opportunities.
- Researches and recommend opportunities for special events and community partnerships with outside organizations.
- Serves as a liaison between city departments, business owners, and vendors in the coordination of special events.
- Assists the Public Affairs and Marketing Department in developing materials and managing advertisements for a variety of large scale events and other departments within the City.
- Create all marketing materials, social media posts and website updates for the Department of Parks and Recreation.
- Coordinates the work activities of employees and volunteers at events.
- Participates in the development of the budget for special events.
- Participates in the negotiation of event contracts and service agreements.
- Presents reports and outcomes of events for superior to review with City Management
- Explains and interprets rules and regulations, fees and charges, and event operations to event guest’s patrons; enforces or refers enforcement to proper authorities.
- Prepares and maintain various operational reports on attendance, inventory, revenues and related information.
- Approves or reviews requisitions for materials and supplies for event operations and maintenance; supervises and maintains revenue records; manages event expenditures.
- Meets with organized groups, committees, individuals, or other interested parties to provide information, assesses community-wide program needs and interests, formulates new programs, and furthers public relations for the City.
- May act as assistant to Parks and Recreation Manager II to oversee specific amenities in assigned events.
- Handle and process all Special Event Applications that are sent turned into the City
- Performs all other related duties as assigned.
Associate’s degree in Parks and Recreation Management, Event Management or related field and at least two (2) years progressively responsible experience in coordinating special events, or an equivalent combination of education, training and experience.
Special Qualifications:
Valid Florida Driver’s License. Professional certifications preferred: Certified Parks and Recreation Professional (CPRP) from the Florida Parks and Recreation Association

Hours of Work: Monday- Friday 9:00AM – 5:30PM (nights, weekend, and holiday work hours as required.)
