Nature and Scope:
The Project Leader is responsible for leading and participating in projects related to both corporate and marketing communications initiatives. The position attends interdepartmental project meetings as a liaison to the Communications Department, and works closely with internal customers to ensure that each project’s communication goals are met. It serves as the first point of contact between internal customers and the rest of the team that develops print and electronic communications for PacificSource and its subsidiaries. The position involves both hands-on writing, editing, and design work as well as delegation and coordination with other Communications staff members to complete tasks. The Project Leader provides backup for the Communications Manager’s supervisory duties but does not otherwise have direct supervisory authority.
Essential Functions:
- Work directly with the Communications staff and interdepartmental project teams to develop and execute communications strategies in a service-oriented environment.
- Manage all phases of assigned communications projects including (as needed) client relations, research, interviewing, meeting facilitation, writing, editing, fact-checking, formatting, desktop publishing, proofreading, distributing, and archiving.
- Attend project meetings and relay pertinent information to Communications staff for follow-up and completion of tasks, coordinating resources to meet deadlines.
- Research, write, edit, and design printed and electronic communications for use inside and outside PacificSource, including letters, notices, newsletters, brochures, reports, Web content, and presentations.
- Act on Communications Manager’s behalf when manager is unavailable by attending meetings, authorizing time off, distributing payroll, and making immediate decisions regarding departmental procedures.
- Communicate regularly with manager regarding activities affecting departmental functions.
- Provide backup for other Communications staff as needed.
- Perform other duties and special projects as may be assigned.
Relationships: Reports to the Communications Manager. Seeks input from CEO, COO, and other EMG members and managers as necessary. Interacts with PacificSource employees throughout the company. Backs up other Communication staff.
Accountabilities:
Work within project guidelines, operational policies, and departmental procedures. Liaise with project managers, project sponsors, and other customers to coordinate work with other department staff. Communicate effectively and maintain professional, service-oriented relationships with customers throughout all levels of the organization. Track and report progress as appropriate to all stakeholders. Understand, support, and enforce PacificSource human resources policies
Qualification Requirements:
Work Experience: Two years project management experience, preferably in the healthcare or insurance field. Two years writing, editing, and desktop publishing experience, preferably in a marketing or communications environment.
Language Skills: Requires excellent writing skills including creativity, the ability to adapt the “voice” of a communication to suit a project’s goals, and readability. Requires excellent editorial skills including grammar, spelling, punctuation, organization, and presentation of information. Requires ability to read, analyze, and interpret documents, schedules, reports, and correspondence, and effectively present information and respond to questions from a variety of customers.
Mathematical Skills: Basic math skills required, including percentages, ratios, graphing, and spreadsheets.
Reasoning Ability: Requires the ability to define problems, collect data, establish facts, and draw conclusions; the ability to understand, carry out, and delegate written and verbal instructions; the ability to work independently with minimal supervision.
Education, Certificates, Licenses, Registration: Requires BS or BA in journalism, English, communications, business administration, or related field. Project management certification preferred and encouraged.
Other Skills and Abilities: Requires excellent project-management skills including client relations, time management, coordination with other staff, and resource usage. Requires proficiency with project scheduling tools such as Microsoft Project and Excel. Advanced desktop layout and production skills are required, including manual formatting, tables, graphics placement, tables of contents, and indexing, using Microsoft Office, QuarkXPress, and Adobe InDesign products.

Physical Requirements: Stoop and bend. Sit and/or stand for extended periods of time while performing core job functions. Repetitive motions to include typing, sorting and filing. Light lifting and carrying of files and business materials. Ability to read and comprehend both written and spoken English. Communicate clearly and effectively.
