Job summary

The programs office (PMO) is looking to hire a project manager to support program management activity within the programs office.

The PMO is a consultative layer above individual projects that provides a formal setting for managing projects and programs across the organization and will ensure all projects are aligned to RM objectives and will manage key cross functional programs and initiatives.

The project manager will support the activities of the PMO through collecting the status of projects in a program, reporting on projects, supporting project activity and stakeholder communication and management. This person should have a bias for action, strong organizational skills and be an excellent communicator.

Roles & Responsibility:

  • Manage projects: Ability to drive project through to completion while addressing any blockers or risks; Drive program/project progress by managing workstreams, deliverables, and timelines
  • Run project meetings: Run program meeting that drive progress, address blockers, facilitate collaboration, resolve conflict, gain agreement and influence teams to deliver
  • Reports project progress: Work with functional teams and project managers to gather status reports, charters, risk registers, issues and changes, collected at routine intervals. Auditing and tracking ongoing projects at regular intervals to ensure projects are on course and not at risk. Consolidation and analysis of the data collected from program status information, comparing results with baseline and communicating status to the management
  • Support functional project activity: Help functional manager with creating project plans and using project management systems, tools and templates. Eliminate barriers to execution in collaboration with project sponsor. Includes running project meetings
  • Stakeholder communication and management: Build rapport with stakeholder and functional leaders. Communicate company strategies and program requirements to stakeholders and address concerns and issues from stakeholders. Anticipate risks and identify mitigation approach

Key Requirements:

  • Can effectively managing project cross-functionally with a variety of roles, teams, and work styles
  • Proven ability to independently run program meeting that drive progress, address blockers, facilitate collaboration, resolve conflict, gain agreement and influence teams to carry out projects and programs
  • Distinctive people skills with a proven track record of driving change, influencing (especially at a higher level) and stakeholder management
  • Demonstrated ability to perform in a dynamic environment and comfort working in ambiguity
  • Driven, resourceful, curious, and a fast learner: proven track record of taking initiative and being resourceful to solve problems
  • Experience working with functional leaders and demonstrated understanding of the functional managers roles and challenges with knowledge of capabilities and capacity across functions
  • Strong communication skills, especially around breaking down complex structures into digestible and relevant points for a diverse set of clients and colleagues, at all levels; ability to develop spreadsheets, diagrams and process maps to document projects and programs
  • Strong organization skills, especially managing complex projects
  • Demonstrated understanding of program management; PM Methodology expertise such as: Agile, Scrum, Waterfall. PMI certifications or equivalent strongly preferred
  • Experience working with project management systems and tools

2-3 years’ experience in project management or equivalent experience
