Job Summary:
Provides a wide variety of administrative and operational support for members of the banks senior executive group. This may include preparing reports, conducting research, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings; may also train and supervise lower-level clerical staff. Must have broad company knowledge and the ability to interact with high level executives and clients in a professional and courteous way.

Job Duties and Responsibilities:

  • Provides direction and may also assist with the screening of the executive’s mail, email, voicemail and appointments according to departmental policies and procedures.
  • Seeks to enhance and enable the executive’s function by bringing together appropriate people and other resources to support the executive in addressing issues.
  • Coordinates the preparation of financial and operational analyses and reports reflecting progress, adverse or other trends, to support appropriate recommendations or conclusions.
  • Serves as department liaison with administrative personnel concerning the organization’s policies and procedures.
  • Handles confidential information which would have immediate negative impact on the company operations, performance, or value if shared beyond its intended audience.
  • Receives and initiates broad, regular outside contacts on behalf of the executive with executives and board members of other companies, regulators, elective representatives, charitable boards, and customers.
  • Interprets departmental policies and procedures, making decisions on specific operating problems and issuing instructions in the name of the department and divisional head in accordance with departmental precedents and policies.
  • Represents the executive on internal and external committees.
  • Formally supervises the daily work of a small group of clerical assistants.
  • Organizes and coordinates the administrative aspects of the executive’s office functions.
  • Each team member is expected to be aware of risk within their functional area. This includes observing all policies, procedures, laws, regulations and risk limits specific to their role. Additionally, they should raise and report known or suspected violations to the appropriate Company authority in a timely fashion.
  • Performs other related duties as required.

Minimum Education:
High School Diploma
Minimum Experience: 2 – 4 years administrative job specific
Required Knowledge, Skills, & Abilities:
  • Ability to maintain confidentiality.
  • Excellent typing skills with PC aptitude ( Microsoft Word/Excel )
  • Excellent telephone and customer contact skills.
  • Broad verbal and written communication skills
  • Excellent analytical and project management skills.


Preferred Knowledge, Skills, & Abilities:

  • Previous customer service experience in a banking environment
