Position Summary
Working in a dynamic and fast-paced office environment, the Executive Assistant provides executive level administrative support to the office of the Sr. Vice President/Chief Academic Officer, with minimal daily supervision. The incumbent in this position will work independently and perform administrative and project work of a complex nature conveying highly sensitive information while maintaining confidentiality. The Executive Assistant manages all daily office operations and makes important decisions on a regular basis. Supervises student workers and any part-time employees in the office and provides training and mentoring for new OAA division administrative assistants.
The incumbent in this position will have extensive knowledge of college policies, procedures, and practices and can prioritize the work of the office accordingly with a strong grasp of office protocols and executive level professional practices. The Executive Assistant will monitor the budget, assist with the capital equipment purchasing process, and numerous other student and institutional reporting requirements.
The ideal candidate will have strong interpersonal skills as the front-line representative for the office and sound judgment and reasoning. Mastery of office tools, including Microsoft PowerPoint, Word, and Excel and strong knowledge of college policies and protocols are a must. The individual must possess the ability to work in an office environment where working on multiple projects and priorities simultaneously is the norm. The ideal candidate will enjoy the multi-faceted work and the fast-paced nature of the work in the office.

Knowledge of: office practices and procedures [advanced level]; administrative assisting; office management; English word usage, spelling and punctuation.

Ability to: exercise sound judgment in dealing with responsible and potentially sensitive issues on behalf of the assigned executive; maintain and promote good public relations as representative of the college; maintain confidential and sensitive information; work independently demonstrating initiative.
Minimum Qualifications:
Associates degree in secretarial science, administrative assisting, or closely related field of study and at least four years performing progressively responsible exempt level work for an executive or an appropriate combination of education, training, coursework and experience may qualify a candidate. State Motor Vehicle Operator’s License or demonstrable ability to gain access to worksite(s).
