Clinical Research site specializing in studies for patients with schizophrenia, MDD and bi-polar disorder, looking for an enthusiastic office manager to oversee daily office functions. This position is responsible for coordinating and maintaining an efficient and productive flow of patients between check-in, treatment, and check-out. This position is a point-of-contact for all non-clinical patient service including overseeing and managing the patient database; maintaining patient charts and electronic medical records; maintaining the front and back operations of the office; and providing outstanding customer service to our patients.
Job Responsibilities:
- Greet patients and other visitors; answer and direct inquiries;
- Answer phones, schedule appointments and maintain appointment calendar;
- Input/regularly update all patient information into patient database;
- Make daily appointment reminder calls to patients;
- Oversee and facilitate patient flow;
- Provide study patients with relevant consent forms;
- Oversee and facilitate study patient stipend payment system;
- Schedule transportation and order lunch for patients when necessary;
- Create new patient charts;
- Order and track medical records;
- Assist in pre-screening prospective patients for eligibility via phone or face-to-face;
- Maintain office equipment;
- Inventory supplies and order replacement supplies as needed;
- Coordinate building and maintenance issues. Manage relationships independently with vendors, service providers and landlord, ensuring that all items are invoiced and paid on time. Coordinate non-routine maintenance, such as the exterminator repairman, IT Technician and office equipment technicians;
- Monitor incoming and outgoing mail and shipments;
- Clean up reception areas, add water, coffee and snacks as needed;
- Support company president as necessary;
- Complete special projects as needed and assigned.
Desired Skills & Experience:
- Medical front office management preferred.
- Previous psychiatric care experience preferred.
