Clinical Research site specializing in studies for patients with schizophrenia, MDD and bi-polar disorder, looking for an enthusiastic office manager to oversee daily office functions. This position is responsible for coordinating and maintaining an efficient and productive flow of patients between check-in, treatment, and check-out. This position is a point-of-contact for all non-clinical patient service including overseeing and managing the patient database; maintaining patient charts and electronic medical records; maintaining the front and back operations of the office; and providing outstanding customer service to our patients.

Job Responsibilities:

  • Greet patients and other visitors; answer and direct inquiries;
  • Answer phones, schedule appointments and maintain appointment calendar;
  • Input/regularly update all patient information into patient database;
  • Make daily appointment reminder calls to patients;
  • Oversee and facilitate patient flow;
  • Provide study patients with relevant consent forms;
  • Oversee and facilitate study patient stipend payment system;
  • Schedule transportation and order lunch for patients when necessary;
  • Create new patient charts;
  • Order and track medical records;
  • Assist in pre-screening prospective patients for eligibility via phone or face-to-face;
  • Maintain office equipment;
  • Inventory supplies and order replacement supplies as needed;
  • Coordinate building and maintenance issues. Manage relationships independently with vendors, service providers and landlord, ensuring that all items are invoiced and paid on time. Coordinate non-routine maintenance, such as the exterminator repairman, IT Technician and office equipment technicians;
  • Monitor incoming and outgoing mail and shipments;
  • Clean up reception areas, add water, coffee and snacks as needed;
  • Support company president as necessary;
  • Complete special projects as needed and assigned.

Desired Skills & Experience:

  • Medical front office management preferred.
  • Previous psychiatric care experience preferred.
  • Strong written and verbal communication skills.
  • Excellent interpersonal skills to relate effectively with co-workers and patients.
  • Team player attitude, energetic, with a focus on excellent customer service.
  • Ability to problem solve.
  • Superb attention to detail, time management and organizational skills.
  • Computer literacy and ability to conduct data entry.

Job Type: Full-time

Salary: $35,000.00 to $38,000.00 /year
