    I am seeking a professional assistant who is a self-starter and effective communicator to provide direct support to the CEO as well as effectively manage various projects and people within and outside of our offices. The ideal candidate has at least three to five years experience as an executive assistant, project manager or operation manager. The Executive Assistant must be creative and enjoy working within a small, entrepreneurial environment that is mission-driven, results-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

    Qualified Candidate profile:

    · Strong project management ability. The ability to manage a wide range of activities, constantly prioritize, produce high-quality work and meet deadlines is necessary to be successful in this position.

    · Meticulous. You understand that every detail matters and are committed to dotting the i’s and crossing the t’s in every project.

    · Discerning. You understand how to prioritize high return activities, manage competing priorities and find ways to simplify tasks that drain resources.

    · Comfortable with technology. To be successful in the role you need to be proficient in all Microsoft Office products, and comfortable learning new technologies.

    · Collaborative: Partnership in creating and executing plans, and working across teams and offices effectively are key aspects of this role.

    · Honest and Ethical. Must be able to ensure high levels of confidentiality as they relate to the organization, CEO matters, as well as the integrity, security, and accuracy of all personnel information and files.

    Executive Support

    · Completes a broad variety of administrative tasks for the CEO including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.

    · Plans, coordinates and ensures the CEO’s schedule is followed and respected. Provides “gatekeeper” and “gateway” role, creating win-win situations for direct access to the CEO’s time and office.

    · Communicates directly, and on behalf of CEO, with Customers, staff, and others, on matters related to CEO’s programmatic initiatives.

    • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the President, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
    • Provides a bridge for smooth communication between the CEO’s office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
    • Works closely and effectively with the CEO to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a “barometer,” having a sense for the issues taking place in the environment and keeping the President updated.
    • Provides leadership to build relationships crucial to the success of the organization and manages a variety of special projects for the President, some of which may have organizational impact.
    • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the CEO’s ability to effectively lead the company.
    • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.

    Key responsibilities:

    · Assistant to the CEO:

    · Be the CEO’s right hand woman/man

    · Provide ongoing support by attending meetings, taking notes, following up on requests and responding on behalf of the CEO.

    · Manage travel, schedule and other logistics.

    · Assist in special projects under the direction of the CEO.

    · Ability to Travel with the CEO

    · Handle all correspondence via email

    · Schedule calls and coordinate interviews between the CEO and candidates

    · Handle the CEO’s personal and professional calendars

    · Complete administrative tasks and manage the office

    · Work efficiently with a team and independently in a fast-paced environment
    Must take initiative, and always thinking ahead for our CEO
