The Portfolio Manager is responsible for managing a multi-family apartment portfolio consisting of 400 apartment units across 20 properties. The primary areas of responsibility include leasing, tenant relations, accounting, bookkeeping and administration.
Major responsibilities include, but are not limited to the following:
Administration
- Demonstrate leadership, positive attitude and communication skills.
- Train new administrative staff and assign tasks and duties as needed.
- Handle resident requests and complaints.
- Prepare and oversee all lease documents.
- Administer resident renewal and retention programs.
- Schedule apartment turnover and ensure that apartments are maintained at acceptable levels of rent-readiness.
- Approve invoices for payment after work has been checked and approved.
- Enforcement of apartment building rules and regulations.
- Work with CEO in scheduling and monitoring capital improvements.
- Maintain resident’s files and properly report changes into Appfolio.
- Reconcile bank accounts.
Rent Collection
- Collecting rents when due, and/or monitoring collections.
- Collecting late rents, legal fees and NSF charges.
- Collecting dishonored checks and NSF charges.
- Collecting repair/damage/utility costs, and other charges.
- Timely deposit or transmittal to Corporate of all monies collected.
On-Site Marketing
- Review all signage, flags, banners, and lighting around signage to ensure they are in good, working condition.
- Walk entire property to be sure the common areas, landscaping, etc. are in good condition.
- Walk vacant apartments to ensure they are clean and ready to show.
- Hand out brochures, flyers or referral information to all prospects and residents.
- Complete guest cards or other approved follow up tools for all prospects that telephone or visit the property. Follow up with the prospects using this information.
- Complete daily traffic sheets to log all prospect information and for use in setting appointments.
- Review all newspaper advertising to ensure it is correct, the ad program is current.
- Update availability listing daily.
- Maintain knowledge of competing properties.
Resident Retention
- Arrange for resident move-in.
- Communicate with all residents on a regular basis.
- Complete maintenance/repair requests within a timely manner.
- Apply the community rules and regulations consistently and fairly.
- Promote resident and public good will and do everything to achieve satisfaction and reputation for the apartment buildings and owner.
- Administer resident retention programs.
Preferred Skills & Qualifications
· Strong work ethic and willingness to do a variety of tasks
· Ability to maintain friendly, courteous, and professional relationships with both tenants and co-workers
· Possess a valid driver’s license with an acceptable driving record
· Must pass a background check: no felonies or unacceptable criminal history

Salary: $50,000.00 to $65,000.00 /year
