Reporting to the Vice President for Student Affairs, the Assistant to the Vice President is a key member of the Vice Presidents’ leadership team. The incumbent provides executive support for the Vice President and serves a division that includes approximately ninety full-time and part-time professional staff, 300 undergraduate and graduate student staff and stewards operating budgets in excess of $5 million.
Executive Support to the Vice President:
- Represent the Office of the Vice President, interacting with campus and community constituents.
- Coordinate and lead special divisional projects and programs from the Office of the Vice President.
- Coordinate the assembly of materials and communication to the Board of Trustees Student Success Committee.
- Serve as part of the Student Affairs Senior Leadership Team and Student Affairs Leadership Council.
- Prepares agendas for meetings where the Vice President is providing leadership.
- Coordinates all personnel actions on behalf of the division including leave requests; PACTS, new hires, appointments, reclassifications, resignations and retirements.
- Manages the complex schedule of the Vice President and determines daily priorities.
- Attend meetings with and on behalf of the Vice President, ensuring detailed minutes are taken and disseminated to attendees for action.
- Help individuals of all levels to make decisions by advising them and serving as a liaison between them and the Vice President.
- Coordinate divisional meetings, special events and programs sponsored by the Office of the Vice President.
- Gather and prepare information for presentations and distributes and manages visual aid and other materials.
- Drafts correspondences on behalf of the Vice President.
- Review correspondence, arrange meeting requests and answer questions on behalf of the Vice President.
- Serves on divisional and university committees and taskforces.
- Support Stockton University’s diversity commitment and strong student-centered vision and mission.
Divisional Operations:
- Supervises professional support and student staff in the Office of the Vice President and works with them to consistently strive to support a streamlined work environment by instituting, reviewing and updating office procedures; deploying technological solutions; improving work flow and communications.
- Manage fiscal operations of the Division of Student Affairs and provides weekly and monthly reports to the Vice President.
- Perform periodic budget forecasts, analyses and data reports including the preparation of a variety of financial and statistical reports, with attention to accuracy, completeness and conformance with applicable rules and regulations.
- Coordinate the development of fiscal year divisional budget requests. Executes budget transactions on behalf of the Vice President.
- Collaborates with the Executive Director of Student Affairs Planning and Operations to ensure that high priority projects and initiatives are effectively and efficiently managed.
- Assist with all aspects of the divisional planning and assessment.
- Coordinates and executes special projects and programs other duties as assigned based on divisional needs, skills and interests.
Required Qualifications:
- Bachelor’s degree required.
- Demonstrated commitment to inclusive student success.
- Previous administrative experience serving in a higher education, student affairs administration/services setting.
- Demonstrated knowledge of key issues impacting college student learning and success.
Preferred Qualifications:
- Master’s degree from an accredited institution in Higher Education, College Student Personnel, Counseling, Business Administration or related field.
- Demonstrated proficiency with University budgeting processes and technological solutions (e.g. Banner, Qualtrics, etc.).
- Strong working knowledge of issues impacting college student development, success, retention, etc.
- Working knowledge of Student Affairs assessment, data analytics, and student success technological solutions and software packages (e.g. Campus Labs, EAB Student Success Collaborative, etc.).
Special Knowledge and Skills:
- Must possess diplomacy, executive maturity and sensitive human relations skills, and the ability to work well with all levels within the organization, including university officials, faculty, staff, and students.
- Excellent judgment, discretion and confidentiality in handling confidential and/or sensitive materials.
