Sr. Executive Assistant to the CEO/COO

WellSky is looking for an experienced Sr. Executive Assistant to support two members of the Senior Management team (C-Suite). You will serve as the primary point of contact on all matters including those of a confidential nature pertaining to the CEO and the COO. You will also be a great problem solver and able to organize calendars and plan a heavy travel schedule.

What you’ll do:

  • Manage all calendar scheduling and meeting requests and organize all logistics for meeting and events
  • Prioritize all incoming/outgoing communications and answer questions where possible related to office operations and established policies and procedures, all while maintaining confidentiality.
  • Resolve routine to complex situations identifying sensitive matters and notifying appropriate officer, as necessary.
  • Assist in the preparation of materials for meetings including obtaining information from various sources, compiling an agenda, assembling meeting documentation, recording meeting minutes and following-up on action items after the meeting.
  • Build cross-functional relationships with key partners in other departments.
  • Maintain confidential/sensitive files.
  • Coordinate travel arrangements, hotel reservations, meals, and various other aspects for travel.
  • Prepare and review expense reports for Executives including compiling and maintaining supporting documents.

What you’ll need:

  • High School Diploma
  • 7+ years of direct calendar management, expense report management and travel logistics for one or more senior executives with at least 5 years supporting 2 or more senior level executives.
  • Proficiency with Microsoft Office Suite
  • Demonstrated organizational and planning abilities; able to handle multiple tasks and projects, managing details accurately and completely.
  • Effective oral, written, and interpersonal communication skills.
  • Demonstrated ability to manage and protect confidential information.

  • Bachelor’s degree or equivalent through a combination of education and related work experience.
