Summary Description:
The Executive Assistant provides comprehensive administrative support to the President-Chief Executive Officer (CEO)). Key activities include: correspondence; travel arrangements; program planning and meeting coordination; handling sensitive and/or confidential documents and information; overall support at an executive level; and provides excellent internal and external customer service.
Essential Job Functions:
- Supports Harc, Inc in advancing its mission by supporting its community and governmental advocacy efforts; demonstrating client care and respect in all interactions with clients and supporting activities that promote Harc?s financial stability, including attending or otherwise supporting major fundraisers.
- Maintains and coordinates the President/CEO?s calendar, travel and training arrangements
- Provides full administrative support for the CEO, Board of Directors, its committees, and the executive leadership team.
- Prepares routine mailings (agendas, minutes, etc.) for the Board of Directors including the Board?s Committees, sub-Committees, and ad hoc Committees.
- Attend meetings to take and produce minutes for regular monthly mailing for the Board of Directors, Audit and all Board committees.
- Maintains up-to-date notebooks for all board and committee meetings.
- Maintains a database of pertinent contacts for the President/CEO and regularly produce usable directories of this database.
- Schedules meetings and orders meals for Board of Directors and all Board committee meetings.
- Sets up for the monthly Board of Directors Meeting.
- Provides assistance to staff and visitors.
- In the event of inadequate staffing levels or job action, must be available to assist with direct participant support
- Assists Development Department as needed.
- Other duties as assigned.
Job Requirements:
- Knowledge typically acquired by the attainment of an Associates degree in Business Administration, Computer Science or related field and at least two (2) years of experience as an Administrative Assistant.
- Proficient with Microsoft office software including Excel, Word and various databases to compile, type, revise, combine, edit, print and store documents.
- Proficient with Google Suite
- Ability to professionally handle confidential information.
- Ability to professionally and effectively interact with all levels of employees and Board of Directors.
- Valid Driverâs License required, with reliable transportation.
- Must be available to work evenings, occasional weekends and able to attend agency wide events and fundraisers
