The administrative assistant will provide clerical and technical assistance in a dynamic academic environment which requires accuracy, efficiency, effectiveness, the ability to work independently, and strong written and oral communication skills. The administrative assistant must be detail-oriented and will be expected to provide exemplary customer service to students, the public, the community, and colleagues on a daily basis. The position also requires one to maintain flexibility and willingness to change; open-mindedness, fairness and the ability to see multiple perspectives, and accept responsibility for professional and personal growth.

High School Diploma or equivalent. Must have been enrolled or be actively enrolled in college classes working towards an Associate’s degree in a related field.
Highly skilled in Microsoft Office Suite.
Excellent and accurate verbal/written communication skills.
Additional Educational Requirements:
Completion of an Associate’s Degree must be obtained within 1 year following the date of hire.
Preferred Qualifications
Associate’s Degree in Office Administration, Medical Office Administration, Business Administration, or related field from a regionally accredited institution.
Experience with a student of business information system and SharePoint / Office 365.
Demonstrated experience in problem solving and executing complex projects.
Experience in a general clerical experience including work requiring extensive attention to detail and accuracy.
Experience in a customer service environment.
Essential Duties
1. Assist the Vice President of Academic as needed in the day-to-day operation of the academic division.
2. Maintain calendar of appointments, commitments, and deadlines for Vice President of Academics.
3. Organize and schedule meetings in the academic area to include the preparation of minutes.
4. Respond to internal/external telephone calls and information requests for the Vice President of Academics and the academic division.
5. Prepare, distribute and file correspondence such as memos, letters, faxes, email, surveys, forms and legal documents.
6. Complete word processing/data entry: including the campus calendar, uploading and downloading local and state program of studies, adjunct contracts, in-putting career/college promise applications, demographic data and e-procurement.
7. Coordinate the preparation, accuracy and submission of the institutional curriculum report (ICR).
8. File electronic and hard copy documentation pertaining to the academic division and SACSCOC.
9 Maintain knowledge of and updates for NCCCS and BCCC policies and procedures in the academic division.
10, Maintain familiarity with NCLOR.
11. Access and use BCCC’s current college information system (CIS).
12. Enter and maintain instructional dates in the campus calendar.
13. Distribute and process supervisor evaluations by employees.
14. Assist with arrangements for Faculty/Dean/VP of Academics’ travel and conferences as needed.
15. Assist with planning faculty functions and events.
16. Assist Executive Assistant to the President, as needed.
17. Create, distribute and maintain all part-time instructional contracts in the academic area.
18. Collect monthly part-time curriculum faculty contracts/timesheets and preparing monthly spreadsheet for business office payroll.
19. Enter class schedules, scheduling and maintaining usage of all classrooms in the academic area.
20. Collect and file faculty schedules and any other pertinent faculty information each semester.
21. Update and maintain documentation for SACSCOC “readiness.”
22. Serve on college committees as appointed.
23. Maintain confidentiality at all times.
24. Must be dependable, reliable and punctual.
25. Assist other divisions or offices as needed.
26. Order and maintain inventory for academic office area.
27. Provide switchboard relief (weekly and as needed).
28. Provide support for high school programs, work-based learning, and maintenance of electronic programs of study.
29. Provide support for budget maintenance.
ADDITIONAL DUTIES AND RESPONSIBILITIES:
- Maintain currency in academic operational knowledge and the use of technology.
- Comply with the college’s policies, procedures, personnel contract and job description.
- Perform related duties and responsibilities, as assigned by supervisor.
FLSA Non-Exempt Estimated Hours per Week Full Time – 40 hours per week Salary $28,056 – $38,616 Based on the College’s salary plan and commensurate with education and relevant work experience.
