Our busy, customer-focused office needs a reliable, well-organized Office Manager to handle day-to-day operations with a focus on efficiency and time management. The Office Manager will be responsible for developing intra-office communication, streamlining administrative procedures, office staff supervision and task delegation. This role leads a staff of three administrative professionals and is responsible for the performance of the administrative team which supports local and remote workers as well as McDonald’s Franchisees in a large geographical area. We are looking for a high-energy professional who is tech-savvy and doesn’t mind wearing multiple hats. The right person will be an effective leader that’s knowledgeable, experienced, can bring new ideas to the table and implement systems and routines to provide extraordinary administrative support.
In addition to following McDonald’s policies and procedures, principal accountabilities include, but are not limited to:
- Leads, handles and evaluates administrative team while ensuring their continuous skill development with all administrative systems
- Direct Field VP support
- Serves as the lead liaison between McDonald’s Headquarters for field office fleet, IT, Security access/procedures, distribution lists, technology issues and schedule maintenance and upgrades.
- Runs the field office master calendar
- Participates in the planning/budget process as it relates to field office G & A and facilities management. Maintains office efficiency by planning and implementing office software, layouts, and equipment procurement
- Leads the logistical and planning process for field facing events / meetings
- Leads all staff engagement initiatives and events for the office from budget management to planning and execution
- Handles office policies by establishing standards and procedures; measuring results against standards; implement and educate field office staff on new programs or procedures including ensuring compliance and communication
- Partners on and provides process maintenance to the onboarding/off-boarding experience of new hires
- May participate on cross-functional teams as assigned
Capabilities
- Strong attention to detail and ability to keep several complex schedules aligned and organized
- Effective people development skills that progresses and amplifies administrative team
- General to deep understanding of McDonald’s operating model and system tools
- Exceptional Strategic planning skills and the ability to lead events while working closely with multiple key partners, customers and vendors
- Ability to work well with Senior Management and handle confidential and sensitive information with discretion
- Capability to understand that everything is inter-related so it allows you to ask better questions before jumping to conclusions
- Ability to recognize that there may be multiple ways to assess/solve a problem
- Project management experience preferred
- Minimum 5 years’ experience as Office Manager or similar administrative role, including direct supervision of staff
- Minimum of 2 years executive level administrative support
- Ability to lead, encourage and manage people
- Ideal candidate will have experience in human resources, travel management, and general business management.
- Ability to display high proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint)
- Proficient in leading large scale web-based meetings using tools (i.e, Webex)
- Effective organizational and time management skills
- Excellent verbal, written communication and interpersonal skills
- Ability to multi-task and prioritize in a dynamic environment
- Project Management skills
- 2 or 4 year degree preferred
