Job Title: Member Services and Administrative Manager
Summary:
The American Vein & Lymphatic Society is a non-profit medical association of members dedicated to the field of venous and lymphatic medicine. The mission of the Society is to advocate on behalf of our patients and our members with healthcare policy makers, to develop research to advance our understanding and care and to provide quality education in the field for those specializing in the field.
The Member Services and Administrative Manager supports interdepartmental and societal initiatives that advance greater member engagement and awareness of the American Vein & Lymphatic Society.
The Manager builds and maintains positive relationships with current members, helps gather information on changing member needs and trends, and works with volunteers to develop efforts that will increase member recruitment and retention rates.
This position is a primary point of contact for members as well as non-members and is responsible for primary interaction regarding event registration, product sales or other similar interactions. Additionally, the position is responsible for oversight of office administrative responsibilities.
The Member Services and Administrative Manager is responsible for a direct report, Member Services and Administrative Coordinator and reports to the Director of Membership.
Responsibilities:
Membership Database
- Responsible for member dues processing
- Responsible to maintain and update membership records and database profiles
- Prepare daily/weekly/monthly reports as needed
Member Services
- Develop and execute tactics to recruit and retain members of the Society
- Develop and maintain member specific benefits
- Respond to membership inquiries and information requests via telephone and email
Event Support
- Provide registration support for all educational conferences
- Process registrations received via fax, mail and phone
Administrative Actions
- Be the first point of contact for office phones
- Fulfill product requests
- Maintain product inventory
- Process shipping requests
- Monitor general membership email box
Requirements:
- Associates Degree or greater
- Minimum 3-5 years working experience in either membership coordination, customer service, business development, or related field. Experience in a not for profit or membership-oriented association are preferred
- Experience in MS Office Professional Suite is required
- Experience with NetForum or other membership management databases is a definite plus
- Excellent customer service and interpersonal skills
- Excellent written and verbal communication skills
- Strong organization and self-management skills; self-motivation
- Performs well under pressure and possess the ability to prioritize tasks
- Detail-oriented with the ability to multi-task and meet deadlines in a fast-paced environment
- Ability to work both independently and as a team member
- Ability to solve difficult problems as they occur, and to communicate those solutions to others
- Travel required; 3-5 times annually to represent the Society for member recruitment and retention. Required participation at the Annual Congress requiring one (1) week of travel
- Regular, predictable attendance is required
Physical Requirements:
Sedentary work: Exerting up to 10 pounds of force occasionally and/or a negligibleamount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
During conferences and events, longer work hours are expected, with many hours standing or walking. This setting may also require lifting up to 50 pounds.
Computer work: Primary function requires interfacing with computers potentially stressing the eyes, wrists, neck and back
