Executive Assistant to the CEO

The Executive Assistant to the CEO will provide high-level, confidential administrative support to the office of the CEO, including representation of the office in a professional and responsible manner both internally and externally. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to prioritize multiple tasks and projects.

Qualifications:

  • 8+ years of experience in similar role
  • Bachelor’s degree preferred in writing, or business, marketing preferred
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Content writing and editing experience
Responsibilities:
  • Ensure that the CEO is prepared, organized, and ready for all meetings and assist staff with preparedness for CEO meetings
  • Expertly maintain the CEO’s multiple calendars and contact database
  • Schedule appointments, and coordinate logistics for meetings, events, and travel
  • Prepare, proofread, and edit outgoing correspondence and legal documents
  • Support sales activities and manage CRM system
  • Create and submit expense reports
  • Review and approve time entries and PTO requests for senior leadership team
  • Create and execute content for CEO’s personal brand
  • Manage social media for CEO’s personal brand
  • Support CEO’s roles and interests within companies under Donald Thompson brand umbrella
  • Cultivate internal and external relationships on behalf of the CEO and the organization
  • Manage the daily activities of the CEO such that focus can remain on revenue generating activities and partnerships
  • Support Board-level activities including meeting minutes, Board consents and resolutions, and other required documentation
  • Ensure optimization of relationship between executives and administrative staff
  • Provide support to newly hired executives & managers in acclimating to organizational culture and CEO’s pace and expectations
  • Manage special projects as assigned
