We are looking for an experienced medical office manager. Duties would include overseeing billing, staffing, and ensuring the clinic day runs smoothly. The position would be responsible for all departments in the clinic, which are clinical, front desk, clinical support, and providers. The position will be the go-to person for any and all problems in the clinic.

The candidate must have a minimum of 3 years of experience as manager of a medical clinic. Other management experience will not be considered. The candidate must have strong skills in Microsoft Office and a general working knowledge of an EMR. The candidate must be able to know or learn medical billing to be able to supervise a billing staff. The candidate must be knowledgeable of employment law and have experience with interviewing new employees. The candidate must be highly organized and have experience with managing employees.

As the practice grows, the salary will increase along with the responsibilities and duties.

Essential Job Responsibilities:

  • Managing flow of patients in front office and treatment rooms
  • Managing inventory
  • Prospectively identifying gaps in patient service or office flow and suggesting improvements
  • Tracking patient retention and performing patient follow-up
  • Managing facility, including the phones and tech support needs
  • Reporting and tracking sales to refine marketing strategies
  • Managing and assisting with front desk and back office teams
  • Organizing marketing events and networking with other businesses
  • Keeping social media accounts up to date
  • Ensures that all business functions are operative and that all processes are effectively and efficiently in place. Reviews processes and makes recommendations for improvement.
  • Creates goals for the site and ensures that these goals are in line with organization goals.
  • Manages daily operations and coordinates the work activities and schedules.
  • Ensures provisions of safe, high-quality patient care by the staff.
  • Evaluates performance and recommends merit increases, promotions, and disciplinary actions.
  • Ensures that office space, supplies, equipment, and assistance are provided and maintained appropriately for medical staff and patient care.
  • Operates within the context of an established budget. Makes recommendations for annual budget and maximizes opportunities to meet and exceed budget guidelines.
  • Develops guidelines for prioritizing work activities, evaluating effectiveness, and modifying activities as necessary. Ensures that site is staffed appropriately.
  • Supports and upholds policies, procedures, objectives, quality improvement, workplace safety, and requirements of accreditation and regulatory agencies.

Minimum Qualifications:

  • BA or BS in business or health care administration required
  • 5+ years in clinical management a plus
  • Strong planning and problem solving skills with the ability to prioritize multiple demands
  • Excellent interpersonal and communication skills both written and verbal
  • Strong work ethics and leadership abilities
  • Knowledge of safety practices and hazardous conditions to provide a safe work environment
  • Knowledge of HIPAA privacy requirements
  • Experience in Electronic Medical Record systems
  • Tech savvy and able to troubleshoot most issues that come up with computers
  • Immaculate record-keeping and organizational skills
  • Knowledge and experience in telemedicine a plus
