Staff Assistant to the Vice President of Student Affairs
Non-Unit Professional Position, Lynn Campus
Responsible for providing administrative support for the Vice President of Student Affairs. Perform administrative duties requiring a high degree of confidentiality, independent judgment and decision-making ability, and excellent customer service. Serve as a liaison between the Vice President’s office and offices within the Division of Student Affairs, other college offices, students, and the external constituents. Provides support for the President and visiting executive staff present at the Lynn Campus.
DUTIES & RESPONSIBILITIES:
- Serves as primary contact in Vice President of Student Affair’s Office located at the Lynn Campus and responsible for executing functions supporting the Vice President of Student Affair’s office.
- In a confidential capacity, provide support to the Vice President, including but not limited to schedule, travel, mail, phone, emails and special events.
- Plans and schedules meetings for the Vice President.
- Provides assistance to the Vice President with projects, communications, and other administrative duties, acting in a confidential capacity when referring calls and dealing with sensitive documents.
- Executes functions to support the seamless coordination and implementation of commencement.
- Develops and maintains files, records, and databases.
- Provides support for the Enrollment Management Team (EMT) and Student Affairs Leadership Team (SALT) meetings by attending meetings, preparing and distributing agendas, taking minutes, ensuring appropriate actions are taken, and maintaining the EMT Google site. and Division meetings.
- Ensures a student centered and customer-oriented atmosphere when communicating with students, faculty, staff, and external constituents.
- Maintains records, schedules (e.g., vacation and travel) for team members in the Vice President’s portfolio.
- Familiar with Title IX, SAVE Act, Student Handbook, etc. and is able to confidentially and support students in distress.
- Prepares and assists with ad hoc internal and external financial reports.
- Processes requisitions/purchase orders, central service/building request forms, travel forms, etc. for the Vice President’s Office.
- Assists the President and visiting executive staff with duties pertinent to the College and provides general clerical support, acting in a confidential capacity.
- Develops and maintains files, records and databases for the Administrative Services departments. Provides general clerical support, acting in a confidential capacity.
- Coordinates and maintains Division of Student Affairs calendars and establishes procedures to ensure optimal attendance.
- Demonstrates excellent judgment and a thorough knowledge of the functions of the Division of Student Affairs and the College.
- Performs other related duties as assigned.
Requirements:
- Bachelor’s Degree in related field with three years administrative experience supporting executive level staff or equivalent combination of education and related experience required.
- Excellent administrative, organizational, and communication skills with the ability to follow through and exercise independent judgment.
- Strong interpersonal skills and customer service skills.
- Experience working within an institution of higher education and a demonstrated understanding of the role of student affairs, preferably at a community college.
- Working knowledge of higher education principles, practices, and procedures.
- Ability to assist in analysis of budgets and working knowledge of budgetary and accounting procedures.
- Demonstrated ability to handle sensitive information in a confidential and professional manner.
- Demonstrated proficiency with Microsoft Word, Excel, and PowerPoint.
- Knowledge of Banner or other integrated student database system preferred.
- Exhibited spirit of college community, respect, and teamwork through active participation in college areas (e.g., committees and college sponsored events).
- Successful experience interacting with culturally diverse populations.
- Candidates will be required to pass a CORI/SORI and/or a National background check as a condition of employment.
Additional Information:
