Position Summary

The Executive Assistant is expected to provide superior administrative support and customer service, with high attention to detail and accuracy, and contribute to a positive, collaborative and professional team environment.


Responsibilities:

  • Coordinate the day-to-day operations of the COO. Manages and maintains calendar in an efficient and effective manner while maintaining a high level of professionalism and confidentiality.
  • Support the COO through preparation for daily events and follow-up actions (e.g. scheduling and coordinating meetings, maintaining action lists and reminders, managing certain phone calls and meeting preparation).
  • Assist with expense report preparation for COO and direct reports.
  • Assist with personnel administration, including: time reporting, performance evaluations, and salary administration.
  • Assist with the MSA process including routing and ISN review.
  • Support the Business Development function with contract administration and data management.
  • Support the operations team including maintaining the Share point administration to support the permitting processes.
  • Support activities that require a high degree of confidentiality, attention to detail, and accuracy.
  • Exercise initiative, judgment and knowledge of company policies, practices and the organization.
  • Act as a liaison between the COO and internal and external clients and screens calls, as necessary.
  • Manage travel arrangements.
  • Edit and send companywide announcements on behalf of the COO.
  • Assist with large company events including the Denver holiday party, company picnic and special events.
  • Other duties as assigned.


Knowledge & Skills:

  • Must have excellent interpersonal, telephone, and organizational skills.
  • Must have excellent verbal, written, and grammatical skills
  • Must have advanced analytical and presentation preparation skills
  • Must have advanced knowledge working with tools such as Word, Excel, and PowerPoint software
  • Must be customer service oriented and have a polished and professional demeanor and image to interact with external parties
  • Ability to maintain confidentiality required of work assignments and is independent and resourceful to accomplish day to day tasks and assignments
  • Must have high attention to detail and the ability to work well under pressure with tight deadlines and changing priorities
  • Must be a self-starter independent worker that is comfortable working in an unstructured environment
  • Must be proactive in terms of anticipating needs and follow-up items for the executive

Education:

Must have a High School Diploma or equivalent, but college degree preferred.


Experience:

15 years of Administrative experience with at least 5 years supporting a senior staff member.
