This role is a key support position for the company working for the office of the CEO and founder. Unidine is a high-growth organization and the CEO’s office specifically is very fast-paced. This position provides a wide range of executive and personal support to the CEO, and will be the chief Company liaison with the parent company.
The right candidate must be able to multi-task in order to juggle a multitude of short and long-term projects, often working closely with Company executives. The ideal candidate will also be able to work at a very fast pace on a day-to-day basis and have an extreme sense of urgency, organization and conscientious attention to detail. S/he will be someone who is very bright, who easily understands new concepts, has a great deal of common sense and who enjoys being efficient and adding value at every level. Because there is such a range of responsibilities and tasks, s/he must be a strong self-starter but also be able to collaborate with a team. S/he must possess a strong sense of professionalism and poise, have superior communication skills, be a direct communicator and can manage the office of the CEO seamlessly. This position requires discretion and occasionally flexible hours.
Essential Functions and Key Tasks:
- Schedule all CEO meetings and appointments, dinner reservations
- Book travel arrangements (car, hotel, flights, travel agendas, all details on calendar, travel cancellations, etc.)
- Own scheduling and travel logistics for other executives when traveling with the CEO
- Own managing the information presented to the parent company, and the planning and logistics of all meetings
- Maintain organized and up-to-date action item list for the executive team
- Maintain current contact lists including business and client lists
- Direct the organization of CEO’s office: supplies, cleaning, filing and filing systems, ensuring that the appearance and operation of CEO’s office consistently reflects company’s standards of excellence
- Phone answering for CEO, take messages, understanding priority levels
- Provide oversight for high level meeting planning and preparation
- Document creation and editing as directed
- Maintain CEO hard and electronic files and filing systems
- Phone answering, opening and sorting mail, copying, scanning, sending packages for the CEO
- Event planning: social events, dinner parties, holiday gatherings
- Reconcile expenses, track and request checks and reimbursements, including purchases, payments and refunds
- Bachelor’s Degree and 5-8 years of relevant experience
- Extreme sense of urgency & pro-active nature
- Strong familiarity with MS Outlook, Word, PowerPoint and Excel
- Familiarity with PC and internet research; strong typing skills
- Experience organizing projects and tasks
- Ability to exercise common sense
- Strong problem solving skills & executive presence
- Solid communication skills and the ability to effectively and respectfully communicate with people at all levels
- Ardent attention to detail
- Ability to maintain confidentiality and exercise discretion
- Valid driver’s license and vehicle
- Flexibility with hours as some evening/weekend work will occasionally be required
- Desire to learn and be a key part of the team
