Skills and Experience

  • Associates or Bachelor’s degree preferred
  • 2+ years of experience to a high-level executive. Personal Assistant experience preferred.
  • Superior communication/writing skills
  • Proficiency in Google Apps for Business, Word, Excel, PowerPoint, Concur, Zoom
  • Detail-oriented with superb organizational skills

Job Description

This role is primarily responsible for supporting the CEO using a variety of project management, communication and organization skills. Candidate must have a pleasant, “Can

Do” attitude and a proven ability to multi-task with a proactive approach to tasks. Attention-to- detail is a must along with a sense of urgency to deliver in a timely manner. Candidate should have a high-level of professionalism with an appreciation for discretion of confidential information. Tasks will require candidate to remain accessible and available during nights and weekends during corporate events or while CEO travels overseas.

  • Manage CEO’s calendar
  • Manage and schedule corporate car for CEO and employees
  • Prepare and organize for meetings
  • Perform personal assistant ad hoc tasks and projects (i.e. running errands, gift shopping, assist with travel, social calendar). Must be comfortable with 2 – 5 hours of work a week during off hours.
  • Recommend and plan client meals/entertainment
  • Assist with the planning of corporate events (i.e. parties, happy hours, conferences)
  • Welcome visitors at the front desk reception area
  • Answer and forward incoming calls
  • Register guests in 1WTC visitor system
  • Order and pick-up meals for CEO and catered luncheons
  • Order office supplies and snacks/beverages for office kitchen
  • Handle all incoming and outgoing mail including Fedex and messengered packages
