POSITION SUMMARY:
The Executive Administrative Assistant will provide executive administrative and personal support to the CEO.
ESSENTIAL DUTIES / PRIMARY RESPONSIBILITIES:
- Administrative support for CEO
- Assemble documentation for various projects.
- Collaborate with internal business units as needed.
- Update internal documents upon request.
- Assist with firm administrative projects.
- Schedule and calendar conferences/travel.
- Excellent customer service to both internal and external clients and employees
- Assists with Firm Admin projects
- Heavy travel and calendar scheduling
- Prepares Expense Reports
- Coordinates client and personal services such as gifts, notes, meals, vendors
- Organizes and communicates daily calendar
- Schedule and coordinate business and personal appointments and meeting
- Prepare and schedule conference rooms and offices for meetings, internal, extern and personal
- Maintain a positive rapport with clients, vendors and employees and provide assistant and details as needed
- Retreat and Event Planning and Coordination
- Administrative Support Responsibilities
- Assist with other duties and special projects as assigned
- Gather information, put together and submit the USFN Award of Excellence annually
- Renew the annual City of Atlanta Business Licenses for Attorneys
- Order all AP and APH business cards for the firm
- Maintain the Executive Lounge; including stocking fridge, silverware, paper products and the coffee machine
- Manage the administrative side of AP corporate credit cards
- Coordinates the Weekly Executive meeting (including room scheduling, ordering lunch, and taking minutes
- Renews Annual State of Georgia Corporation Registrations
- Works with pilot on private jet for travel and all logistics around trip (i.e., car, tee-times, hotels, dinner reservations)
- Performs comprehensive personal administrative duties for the chief executive officer
MINIMUM QUALIFICATIONS:
· High School/ GED
· Five years Executive Administrative experience, preferably in a law firm environment.
· Ability to handle multiple and competing priorities with sensitive timelines.
· Must have supported high level executives and handled personal as well as professional tasks.

- Must be proficient in software tools, including but not limited to Word, Excel, Outlook, and the Internet.
