Summary: Assist and provide executive assistant support duties for the Chief Executive Officer.
Education: High school diploma or equivalent. Bachelor’s degree or a combination of relevant work experience.
Experience: Five (5) years of experience in an equivalent or higher position reporting to upper level management. Previous health care and/or medical experience preferred. Prior experience with travel arrangements, meeting arrangements, calendaring and meeting minutes are required
Other: Type 60 wpm, proficient computer skills: word processing, spreadsheet, and graphic presentation
Essential Job Functions:
- Develop and maintain filing system
- General correspondence (letters, memos, reports)
- Coordination of copying, faxing, scanning
- Maintain Calendar and tasks for the CEO
- Assist with travel arrangements and coordination
- Develop meeting materials and binders
- Transcribe and/or record meeting minutes
- Coordinate on-site and off-site meetings, luncheons, and dinners
- Assist with communication and direction to all direct reports on behalf of the CEO
- Assist with the development of other documents and/or templates
- Assist with proofreading documents for accuracy
- Open, deliver, and distribute mail
- Process expense reports, invoices and bills
- Other duties as assigned

- Knowledge of customer service skills, both in person and over the telephone

- Skill in written and verbal communication

- Ability to edit and review documents for typographical errors, ommission or lack of clarity
- Ability to manage multiple changing projects rapidly and effectively
Equipment Operated: Standard office equipment including computers, fax machines, copiers, printers, telephone, calculators, etc.
Work Environment: Position is in a well-lighted office environment.
Mental/Physical Requirements: Involves sitting approximately ninety (90) percent of the day, walking or standing the remainder. Attention to detail may add stress to conditions.
