The Executive Assistant will support Kirkendoll Management’s offices and Founder and CEO. The position is administrative. This role ensures that internal and external communications to and from the CEO are effectively disseminated. In addition, this role will be required to perform office administration and internal assistance to the Chief Administration Officer (CAO).
Personal Assistant to Chief Executive Officer (CEO)
- Maintaining calendar to manage and coordinate business travel, meetings, out of office, and events.
- Making travel arrangements including airfare and dining. Gather and accurately present travel-related information, including times, locations, and alternative options.
- Partnering with other team members to ensure day-to-day office initiatives are met.
- Completing assignments that require absolute integrity and complete confidentiality.
- Preparing and track expense reports and associated receipts.
- Completing special projects and events as they are (e.g., conferences, team events, holiday events)
- Providing fresh water and other beverages as needed to executives
Family Assistant of Chief Executive Officer (CEO)
- Making travel arrangements for family including airfare and dining. Gathering and accurately presenting travel-related information, including times, locations, and alternative options.
- Acting as administrator for personal family matters including but not limited school applications and prompt payment of invoices (insurance, telephone, cable, etc).
- Researching vendors and soliciting bids from contractors for work related to family residence.
- Completing projects and tasks related to events like guest lists, contact lists, and supplies.
- Collecting and dropping off vehicles at airports and other locations as needed.
- Shopping for family, including groceries, housewares, gifts, flower arrangements, and other items as needed.
- Other tasks when necessary related to the operation of the family and family residence.
Assistant to Chief Administration Officer (CAO)
- Providing support for executive administration responsibilities including data entry, scanning, printing, filing, and delivering packages.
- Completing errands internally and externally of the office.
- Other tasks when necessary related to the administration of the office.
Office Administration / Office Concierge
- Completing regular maintenance and cleaning of the coffee maker
- Greeting guests at the front door and promptly answering when doorbell is ringing
- Providing service to external clients during meetings including taking drink orders, bringing coffee and water, acquiring lunch, and other related tasks.
- Maintaining a clean conference room area and ensuring refreshing and replenishment of room amenities between meetings.
- Working with outside vendors to ensure uninterrupted workflow (office supplies, cleaning, maintenance, and other related vendors)
- Ordering and replenishing food and beverages
- Organizing corporate events (birthday parties, happy hours, special events)
- Maintaining conference room calendar to ensure availability and mitigate double-bookings
Experience and Education Requirements
- 4+ years of full-time experience as an Executive Associate or similar role providing administrative support to a senior executive OR a Bachelor degree in a business-related discipline with 1+ years of full-time experience as an Executive Associate or similar role providing administrative support to a senior executive.
- 4+ years of experience using office administration related software (Microsoft Office Suite, QuickBooks, iCal, G-Suite).
- 4+ years of experience using electronic and computer hardware (Windows PCs, Mac OSX, printers, copiers, telephones, cell phones (Android, iOS).
- 4+ years of experience as a licensed driver
