Based at the Surf & Sand Resort, this role is responsible to oversee staff and operations of the Conference Services departments, to ensure optimum performance and profitability, and complete guest satisfaction.

ESSENTIAL DUTIES:

To hire, train, schedule, support, review, discipline, and terminate employees directly accountable to his/her position, to maintain highest possible levels of employee morale and department productivity.
To assign groups to him/herself and Conference Service Managers, to coordinate all aspects of group programs booked by Sales Managers.
To act as liaison for assigned groups from the time they sign a contract throughout the completion of their on-site program, as outlined in the job description for Conference Services Manager.
To monitor assigned group functions while in-house, ensuring satisfactory follow through of all details pertaining to such functions.
To distribute all sales files to Conference Services Manager for complete follow-through.
To act as liaison between clients and other hotel staff and to ensure complete guest satisfaction.
To disseminate to appropriate hotel staff, current and accurate information regarding incoming conference groups in weekly meetings with all department heads and communicate daily changes directly with the appropriate department.
To produce a resume for each group.
To plan and price menus for all Food and Beverage functions in a manner that will maximize revenues for the Surf & Sand Resort and still meet the needs of the client.
To monitor space utilized by Group Business and to ensure that the space is utilized so as to maximize revenue.
To arrange outside vendor services, as needed for in-house groups.
To conduct pre and post-conference meetings with group meeting planners.
To conduct weekly departmental meetings to communicate information from staff and food and beverage meetings and to discuss departmental safety issues.
To attend all mandatory meetings as directed by the General Manager.
To participate in MOD duty as assigned by the Assistant General Manager.
To attend other hotel events as designated by the General Manager.
To maintain the cleanliness and safety of his/her work area at all times.
To practice safe work habits at all times, to avoid injury to self and others.
To continually monitor and control departmental expenditures to ensure meeting operational standards while maintaining annual budget.
To conduct departmental safety training for all new Conference Services employees, as outlined in the Safety Training Manual, before they begin to work.
To perform other tasks, including cross-training, as directed.


JOB KNOWLEDGE & EDUCATIONAL LEVEL:
Working knowledge of general hotel operations. Minimum 5 years hotel experience required. Must have prior management experience. Management and operational experience in banquets and food and beverage preferred.


SKILLS AND APTITUDES:
Customer service focus. Strong interpersonal skills. Outgoing and readily conversational. Attentive to detail. Efficient and organized. Ability to effectively manage staff to maintain a high level of morale and productivity. Ability to maintain strong working relationships with hotel managers and supervisors in order to ensure total guest satisfaction.

WORKING ENVIRONMENT: Indoor: Works in temperature controlled, clean, well lighted office and hotel common areas approximately 80% of shift. Outdoors: May be exposed to weather conditions when assisting customers. Fast paced position; high level of interaction with all types of people and all hotel departments.


PHYSICAL DEMANDS:
High level of mobility needed to show property to customers and monitor group functions. Flexibility and energy needed for long, sometimes irregular, work hours. Patience and tact required for high level of problem solving, and potential interaction with difficult individuals.
