Job Summary
Reporting to the Deputy Director for Advancement and Chief Strategy Officer, with a dotted line to the Museum Director, the Director of Business Administration manages the financial, facility, and human resources for the Museum of Art. He/she is responsible for guiding all administrative functions in the areas of budgeting and finance, facilities operations, and human resources, as well as oversight of earned revenue functions of the UMMA Shop, Cafe, and event rentals. The individual is a member of the senior management team, working collaboratively and as a key partner on a variety of strategic initiatives.

Responsibilities*
Financial Management (50%)
Working with the Director and other senior staff, leads the creation and preparation of UMMA’s annual budget. Analyzes and reports on the Museum’s financial performance on a regular basis. Identifies creative solutions for funding both ongoing needs and new initiatives.
Establishes financial and operational systems to monitor, control, and verify expenditures and carry out financial analyses.
Reviews and approves all statements of accounts, payroll, human resources, and invoice actions.
Facilities (15%)
Provides guidance to the Facilities Manager concerning UMMA’s physical plant. Communicates identified solutions to University partners for all routine and emergency issues within and outside the facility, as well as off-site storage. Anticipates future facility needs and potential impact on UMMA programs and operations.
Serves as key link and advocate for UMMA’s partnership with the U-M Division of Public Safety and Security. Working with the Facilities Manager, ensures that security personnel are trained and informed of ongoing Museum priorities. Serves as on-call resource to DPSS 24/7 for emergencies.
Reviews and revises the Disaster Preparedness Plan and Continuity of Operations Plan as needed.
Human Resources (15%)
Manages UMMA’s human resources activities, including hiring, terminations, salary, and disciplinary actions. Partners with senior staff to coordinate recruitment and reclassification efforts; facilitates training and annual performance evaluation process.
Oversees implementation of a professional development program.
Makes recommendations for and implements the annual salary plan, with guidance from the Museum Director.
Earned Revenue (10%)
Advises Retail Operations Manager on hiring, work plans, and effective operation of Shop and Cafe. Assists with problem-solving and priority setting; monitors progress toward goals.
Works with Facilities Manager and Operations Coordinator on event rental program, ensuring a high level of customer service.
Ensures long-range plans are incorporated into planning for the Museum.
Administration (10%)
Supervises the Facilities Manager, Retail Operations Manager, and Operations Coordinator; supervises temporary employees and interns as needed. Builds, mentors, and leads the team to deliver on institutional goals.
Serves as the Museum’s liaison with the University’s administrative, legal, financial, human resources, and purchasing units.
Serves on various committees and task forces as assigned.
Required Qualifications*
Bachelor’s degree in a relevant field such as business or nonprofit management, or an equivalent combination of experience and education is required.
At least five years’ experience in progressively responsible financial management and/or human resource positions are necessary, preferably in a museum, higher education, or other non-profit setting.
Must demonstrate success in managing the overall budgeting process for a complex organization. Specific experience with U-M financial and human resource operations a plus.
Proven ability to contribute to ideation and creativity working with a team.
Excellent communication skills, as well as the ability to complete projects on deadline.
Good judgment, poise, and creativity under pressure while working collaboratively in a matrix environment.
Desired Qualifications*
Proven ability to juggle tasks of competing attention, shifting focus seamlessly from big-picture strategy to urgent deadline-driven projects.
Successful track record in collaborative work experience, in managing up, out, and down, and in anticipating needs of colleagues.
Familiarity and experience with the use of art historical terms, methods, and perspectives.
Working knowledge of University of Michigan policies and procedures.
