ASSISTANT PROPERTY MANAGER

RETAIL COMMUNITY CENTERS

Summary:

TheAssistant Property Manager is responsible for providing direct and indirect management oversight for the assigned retail properties; for achieving goals outlined in the Annual Business Plan; promoting Company’s high-quality standards. The Assistant Property Manager assists the Property Manager in the management of a large regional portfolio of Retail Community Centers and may at times be assigned to the management of properties directly. The Assistant Property Manager in collaboration with the Property Manager is responsible for maximizing NOI and asset value of the assigned properties.

Specific responsibilities include property management, operations, maintenance, and tenant relations. Additionally, the Assistant Property Manager is responsible for supporting the leasing, marketing and accounting teams, annual budgeting, risk management, and financial reporting.

Responsibilities:

Accounting and Financial Reporting

  • To assist and/or complete the Annual Business Plan for each assigned property, that maximize asset value and NOI.
  • Assists and/or provides monthly and quarterly financial reports for each property; annual property operating budgets.
  • Assists and/or reviews and approves accounts payable following accounting and financial management procedures.
  • Review and approve CAM model and reconciliations
  • Ensure prompt collection of Rent, working directly with tenants in arrears to collect outstanding balances and enforce Lease late fee/default provisions; minimize Accounts Receivable.
  • Reviews and approves monthly rent reports.

Property Operations

  • Completes detailed weekly property tours and assists with and/or completes Property Inspection reports with written follow up to tenants/vendors for compliance and completion.
  • Assists with and/or completes Request for Qualifications, Request for Proposals and Service Contracts for all necessary vendor services at the properties.
  • Maintains all onsite records including but not limited to Lease Files, Insurance Certificates, Accounting, Sales Reports, etc.
  • Maintains appearance, cleanliness, and safety of the common areas, vacant suites, etc. of the properties.
  • Engages, coordinates and monitors activities of contractor services. Directs ongoing maintenance and necessary repairs for the centers pursuant to the properties Annual Operating Budget and the Standard Operating Procedures of the company.
  • Recommends and implements capital improvement in collaboration with the Company’s construction and development professionals.
  • Promotes workplace safety by establishing programs to ensure the property is free of hazards; responds promptly and in person to major emergency situations.
  • Continually improves processes related to duties and responsibilities with the objective of providing the most desirable shopping, dining, living, and working environment at each center.
  • Manages centers in accordance with applicable local, state and federal laws; recommends such legal action as may be required to protect and maintain the financial integrity of the centers.
  • Prepares Data Input Forms, Store Opening Notices and Closing Notices and assignment application requests.

Tenant Relations

  • Ensure all assigned Tenants are in compliance with their Lease provisions.
  • Works in collaboration with the Company’s construction and development professions on tenant improvement activities.
  • Monitors tenant sales and works to increase tenant sales actively.
  • Assists with and/or creates an Annual Marketing Budget for review and approval and ensures the successful implementation of the plan within the established budget, if applicable to the property.
  • Assists with and/or creates Merchant Handbooks for each center that include an Emergency Response Program, collects and distributes all contact information, including emergency contact information from each tenant. Provide updates and distribute information quarterly.
  • Represents the centers in the local retail community; establishes and maintains open and productive communication with the Company management and representatives, tenants, vendors, and community leaders.
  • Works extended hours, including weekends, as necessary, to achieve the desired results for the centers.
  • Other duties as assigned.

Organizational Relationships:

  • Interacts with leasing, tenant coordination, development, accounting professionals, corporate management, property employees, and outside community leaders. The reporting will be to the Property Manager.

Education and Experience:

  • Position requires a Bachelor’s degree (B.A./B.S.) in Business Administration or a related discipline from an accredited college or university or an equivalent work experience
  • A minimum of three (3) years of progressively responsible experience in retail properties, either individually or as part of a mixed-use property, mall, strip center, lifestyle center, etc.
  • Strong financial understanding of retail accounting principles including recovery ratios and methods, allocating costs to various CAM pools, accrual and cash basis accounting, reading and understanding financials and lease abstraction.

  • Thorough understanding of commercial leases
  • Valid Driver’s License and Automobile Insurance Coverage
  • Real Estate License preferred
  • Meticulous attention to details and accuracy
  • Flexible outlook toward task management

Job Type: Full-time

Salary: $70,000.00 to $80,000.00 /year
