Job Summary


We are seeking for an energetic individual who is experienced in handling a wide range of administrative and executive support related tasks and able to work independently with little or no supervision. Well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people.


Responsibilities


  • Oversee adherence to office policies and procedures and provide overall administrative functions support to the office

  • Organize office operations and procedures if needed

  • Prepare payroll documents, research for direct deposit and track employee PTO/vacation based on accrual

  • Review employee’s timesheets and punches

  • Prepare bank deposit

  • QuickBooks: Credit card payment went through /address QB auto deposit into account.
  • Make refunds or credits with approval from Supervisor. Resolve past due account if any.
  • Perform reconciliation-pick up service, upfront charge, create separate invoice, set rules & stipulations regarding weight, dimension and charge correction if any.
  • Collect and compile quarterly county/corporation taxes, payroll tax, and tax return 1120s for CPA.
  • Responsible for accounts payable & receivable.
  • Perform reconciliation of bank statement, credit cards, billings, UPS expenses and resolve any discrepancies in the account properly and timely.
  • Handle customer inquiries and complaints and escalating customer issues with the appropriate person timely

  • Handle mailing, shipping, supplies, inventory, billings, and errands

  • Coach and mentor office staff when needed

  • Ensure security, integrity and confidentiality of data

  • Work with supervisor to implement procedural and policy changes to improve operational efficiency

Requirements/Skills


  • 1+ year of Quickbook Enterprise Experience

  • Excellent time management skills and ability to multi-task and prioritize work

  • Attention to detail and problem solving skills

  • Knowledge of accounting and administrative management practices and procedures is a plus

  • Knowledge of human resources management practices and procedures is a plus

  • Computer skills and knowledge of MS word, excel and spreadsheets


Starting Wage:
$18 – $19 per hour (DOE)
