Office Manager
Job Description
Boutique tax firm based in downtown Charleston (West Ashley), SC is seeking an office manager with four or more years of law firm experience. The ideal candidate will be a highly motivated self-starter who works well with others. This position will serve as the right hand employee to the owner on a daily basis.
Responsibilities:
- Serve as the point person for office manager duties including:
- Maintenance
- Mailing
- Supplies
- Equipment
- Bills
- Invoicing & billing
- Schedule meetings and appointments
- Engagement letter preparation
- POA preparation and revocations
- Scanning & file organization
- Manage office payables and receivables; Assist clients and/or vendors with any questions regarding invoices
- Manage office G&A budget, ensure accurate and timely reporting
- Provide general support to visitors
- Manage the onboarding and offboarding process for new hires
- Manage day to day office operations and any issues that affect the flow of office
- Office supplies shopping
- Referral & lien marketing
- CPE streamlining and tracking for owner
- Website work & blog posting via social media outlets
- Holiday cards & gifts
Qualities of the ideal candidate:
- Proven experience as an office manager, front office manager or administrative
- Knowledge of office administrator responsibilities, systems and procedures
- Proficiency in Microsoft Office Suite, Microsoft Outlook, Excel, Quickbooks
- Prior experience with Clio or other practice management software preferred
- Hands on experience with office machines (e.g. printers and scanners)
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
- A creative mind with an ability to suggest improvements
- Excellent organizational and time-management skills
- Strongly self-motivated
- Maintains confidentiality
