WORK ACTIVITIES/CONTEXT:
Work Activities/Context

  • Procure to pay process
  • Has a complete grasp of the details of each step in the typical P2P process: has a basic understanding of typical pain points in the process and how to best avoid/resolve them
  • Moderate experience using procurement software to manage P2P process. Able to conduct mild troubleshooting, but sometimes relies on support for less common issues.
  • Places and manages purchase orders (POs)
  • Tracks outstanding POs against scheduled receipt date and takes appropriate action to resolve as necessary
  • Identifies and resolves overdue orders
  • Identifies order processes and systems improvements
  • Places and manages Spot Buys
  • Identifies and resolves Invoice Match Exceptions (IMEs)
  • Catalog management
  • Close connection/familiarity with current supplier set; familiar with most major suppliers in the industry
  • Maintain supplier catalogs to improve ordering efficiency
  • Identify opportunities for improvement in catalog management system
  • Resolve catalog issues with suppliers as necessary
  • Sourcing
  • Has a complete grasp of the details of each step in the sourcing process; has a good understanding of strategic procurement methods to maximize value and service levels for the organization.
  • Moderate experience using procurement software to manage RF process. Able to conduct mild troubleshooting, but sometimes relies on support for less common issues.
  • Identifies and develops sourcing requirements in coordination with the entire cross-functional team
  • Creates bid documents
  • Drives sourcing process through Ariba platform or other similar methods
  • Manages supplier communications throughout sourcing process
  • Coordinates supplier demonstrations or product testing
  • Conducts effective negotiations designed to creatively work with partner suppliers to maximize value to Southwest
  • Identifies opportunities for cost savings and/or efficiencies in sourcing and works with cross-functional team to recommend alternative opportunities.
  • Contract management
  • Understands the difference between the most common procurement contract types and when to use the effectively.
  • Able to make extensive edits to existing contracts; can rewrite sections of the contract based on results of negotiations with suppliers; may require limited support
  • Coordinates contract drafting and executes contracts following sourcing events as necessary
  • Manages administration of complex contracts and service agreements
  • Researches contractual matters, drafts correspondence and notifications, and follows up with relevant stakeholders and customers for resolution.
  • Works with legal department to ensure all contracts meet current guidelines
  • Develops and refines internal contracting templates and best practices
  • Supplier management
  • Notifies Strategic function of consistent or systemic problems with a supplier
