Opportunity

This position serves as the primary point of contact for internal and external stakeholders on all matters pertaining to our chief executive officers and board of directors. This position provides executive team and board support and management, including but not limited to scheduling, calendar management, meeting and agenda coordination with leadership staff and preparation of materials for board meetings, board development, and governance. The position is required to work with sensitive information that must be kept confidential.

Responsibilities

  • Provides highest level of administrative support for the Chief executive officer including:

o Initiates requests for scheduled time, verify availability, send calendar invites to ensure efficient scheduling for a variety of complex meetings.

o Manage and update executive calendar.

o Arrange meeting location, agendas, draft reports, prepare presentations, assemble and organize materials.

o Transcribe, coordinate review and finalize meeting minutes and maintain records.

o Email Management of Executive Leader

Serve as a liaison between the Board of directors, CEO and organization leadership, managing timely and clear communication to support operational effectiveness.

Skills & Knowledge

Knowledge of standard office policies and procedures. Experience working on computers; typing/keyboarding speed of at least 60 WPM. Advanced level of knowledge of Microsoft office applications. Ability to organize and manage multiple complex tasks. Knowledge of standard office machines including copier, fax, shredder, multi-line telephone, printers, virtual conferencing systems, scanners, etc.


Experience

Preferred

  • 5 year(s): A minimum of five years of administrative experience, two years providing executive level administrative support. Project management and/or coordination experience required. People management experience preferred.

  • Bachelors or better in Business Administration
