The Matt Lenza Real Estate Team is seeking a motivated executive admin to handle day to day administration/property management/executive assistant work. Requirements:
– Ability to work 25 hours (40 hour work schedule available)per week minimum
– Have own reliable transportation to our office in Media and possibly Wilmington, DE (virtual work is totally possible, and encouraged once you are up and running)
– Obtain PA real estate license within 90 days of starting (sooner preferred)
– Motivated self-starter eager to complete tasks when Team Leader and Operations Manager are not in office to provide direction.
What will you do?
-Assist the team leader in day to day operations in varying tasks, essentially on an Executive Assistant level
- Receive and respond to email, phone and text message communication from our clients, co-op agents, vendors and industry peers in a timely and professional manner..within minutes, and sometimes within seconds…
- Manage and coordinate purchase and sale transactions with mortgage, title, insurance, home inspection and other transaction services and vendors to ensure deadlines are met and transactions are completed in a streamlined and professional manner. — this will mostly be handled by other team members, but you may be asked to step in, and that means you will have to know what to do from a Real Estate perspective
- Complete and send documents to clients via email, electronic signatures platforms (Dotloop and Docusign), fax and conventional post
- Assist with the ad-hoc tasks from the Team Leader (Property Management, Executive Assistant tasks, Marketing, Lead Generation, etc)
Communications/Interactions
- Team Leader – Daily, but we use WhatsApp and other technology platforms to avoid this from being burdensome
- Customers/Vendors/Contractors/Tenants/AirBnB Guests – As appropriate
Knowledge/Skills
– Strong Written and verbal communication skills
– Exceptional organizational and project management abilities

– High School Graduate
– Real Estate License required within 90 days of starting
– 1-3 years of administrative experience or comparable education recommended, but not required

Admin/Transaction Coordinator
- Coordinate transactions
- Assist in contract document creation and execution
- Fill out forms in Dotloop for buyer and seller transactions.
- Input listing data into MLS
- Conveyancing – Gather and execute necessary buyer and seller docs for KW transaction checklist
- Coordinate municipal inspections
- Schedule settlement (time and location)
- Coordinate with Title Company
- Coordinate with mortgage lender and processor
- Coordinate with Insurance agent
- Ensure adherence to contractual deadlines
- Complete Greensheets and submit to KW
- Process Earnest Checks and Commission Checks to KW market center admin
- Monitor admin email account and respond to all necessary emails.
- Response time expectation – 5 minutes
- Direct mail – Compile specific lists of properties to market to. Generate list via MLS and mail merge or hand-write letters to list. Mail as direct on pre-defined schedule.
- Marketing and PR – Assist in regular content creation and distribution on team social pages (Facebook, Instagram, Linkedin, Google, etc). Create visually appealing posts and great content to highlight the team and our business.
5. Showings, Running, Open House coverage – Assist with showings (as licensed agent), deliver signs, flyers, lockboxes and other market materials to properties, sit open houses at team listings.
Executive Assistant
- Assist Team Leader with daily tasks related to team sales and oversight, property management and personal errands
- “Intercept” emails from Team Leader and respond appropriately
- Conduct research and vet business opportunities with other industry professionals.
- Manage Team Leader’s calendar and schedule appointments
- Growth Opportunity – will be exposed on a day to day basis as far as what is needed to grow into a successful business owner and real estate owner.
- Must be flexible with work scheduling/tasks. Must also be very responsive and reliable. Bottom line, you are being hired to assist with the Team Leader. He no longer wants to be on call 24/7, hence you will be taking the bulk of this burden from him. Thirst to GROW/ACHIEVE and PROSPER is required.
