We are looking for an Executive Assistant to support the founder and CEO of Dini von Mueffling Communications in the execution of daily administrative tasks that include confidential, complex and sensitive matters. The ability to multi-task, think and plan ahead with ease while establishing strong relationships within and outside the company is a necessity. We are looking for a responsible, organized self-starter with strong writing skills and a keen eye for detail. In our fast-paced environment, we need someone who can work under pressure with little guidance. Responsibilities include calendar management; the production and editing of documents and presentations; research and preparation for external meetings; booking and managing travel arrangements and expense reports. Due to the nature of our work, you must possess a high level of discretion and integrity in dealing with confidential information.

Key responsibilities include but are not limited to the following:

  • Planning, organizing, and managing a complex calendar: effectively manage the calendar and coordinate all internal/external meetings whilst liaising with relevant parties in a timely manner
  • Arrange travel itinerary, accommodations, transfers, rental cars, etc.
  • Manage and process mail and email correspondence
  • Work with DVMC’s internal team to coordinate and arrange meetings, conference calls, etc.
  • Pro-actively assist with follow up actions from meetings
  • Accurately create and manage expense reports
  • Assist with researching and preparing organized documents ahead of client meetings
  • Screen/answer incoming phone calls/e-mail correspondence and organizing incoming requests to present to Dini or the appropriate personnel
  • Work with CEO to set daily priorities and help manage their time to stay aligned while being patient and adaptable to competing and changing demands
  • Foster positive and productive collaboration with internal team to ensure high priority demands are met in a timely manner
  • Interface professionally with all levels in the organization
  • Perform other miscellaneous job-related duties and tasks, i.e., arranging food/treats for office meetings or celebrations

Skills and Requirements

  • 3-5 years of work experience
  • Excellent organizational and time management skills with a keen eye for detail
  • Ability to work independently and have initiative to respond to unpredictable situations and priorities
  • Excellent communication, grammar, and proofreading skills, both oral and written
  • Discrete and tactful when dealing with sensitive information/situations
  • Strong emotional intelligence
  • Highly proficient in G Suite, Word, PowerPoint, and Excel
  • College degree required
  • Candidate should be motivated, personable, detail-oriented and be able to multi-task in a fast-paced environment
  • Experience in media or public relations industry preferred, but not required
