Executive Assistant to the Chief Executive Officer

The Executive Assistant assists and reports directly to Vice Admiral Daly (Ret.).

Founded in 1873, the U.S. Naval Institute (located at but not part of the United States Naval Academy in Annapolis, MD) is the independent forum for those who dare to read, think, speak, and write to advance the professional, literary, and scientific understanding of sea power and other issues critical to global security. The Institute is a non-profit membership association and plays a key role in the nation’s ongoing discussion of defense and global security policy and aims always to be the organization that tests the conventional wisdom and explores the power of new ideas.

Executive Assistant responsibilities:

· Coordinate executive communications, including taking calls, responding to emails and interfacing with members, Board Members, and donors

· Prepare internal and external corporate documents

· Schedule meetings and appointments, arrange travel, and manage travel itineraries and prepare travel claims for the CEO

· Schedule and prepare read- ahead materials prior to Board meeting and manage Board member logistics and meeting minutes

· Arrange and execute CEO-hosted events such as Board Meetings, business lunches and appreciation events – both inside and outside of the workplace

· Review and screen mail and emails that require action

· Maintain an organized filing system of paper and electronic documents

· Uphold a strict level of confidentiality and discretion

· Develop and sustain a level of professionalism among staff, the Board, and members

· Dependable, loyal, organized, and discrete

· Minimum of 5 years of experience as an Executive Assistant reporting directly to a senior manager

· Highly proficient in grammar and preparation of correspondence

· Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software (e.g., Luminate CRM)

· Proficiency in collaboration and delegation of duties

· Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
