Overview

This position provides senior-level administrative support to the CEO. The Executive Assistant plays a critical role in aligning the CEO’s time to steward the execution of PCC’s objectives, and by acting as the liaison for the CEO and Board of Trustees who collectively set the strategic direction for the Co-op, its staff, its members and its communities.


This position is open until December 23rd, 2019.

Main Job Responsibilities

  • Performs all administrative duties for the CEO, Board of Trustees and Board Committees
  • Prioritizes and manages the CEO’s commitments and calendar, including the coordination of internal and external meetings, conference calls and travel and appointments with multiple teams and store visits
  • Manages logistics for CEO, Board of Trustees, Board Committee meetings, and Leadership Team retreats
  • Collects, compiles, and distributes board meeting packets via a web-based Board Portal
  • Manages registration, lodging, and logistics communication for PCC’s leadership team and Board of Trustees attendance at industry conferences
  • Develops and reconciles both the CEO and Board of Trustees budget
  • Processes expense reports for the CEO and Board of Trustees. Reviews and approves Leadership Team’s expense reports
  • Organizes all-office Town Halls
  • Provides office management and reception oversight including office supply management
  • Assists broad Leadership Team with event planning and hosting outside partner organizations and vendors
  • Assists with the Board of Trustees’ Annual Election Process – setting key election dates, writing and editing election materials with PCC’s General Counsel and Marketing Team, and ensuring information and materials are published and distributed in a timely manner using the Co-op’s key communication tools
  • Responsible for PCC’s Annual Members’ Meeting logistics
  • Compiles and provides orientation materials for newly elected board members
  • Writes and edits Board-related information on PCC’s website and in the Co-op’s monthly newsletter
  • Handles confidential information using discretion and judgement
  • Leads special projects as requested on behalf of the CEO
  • Provides administrative support to Leadership Team, as needed
  • Other duties as assigned

Qualifications and Skills

  • 5 + years successful administrative experience for executive management level positions
  • Passion for working with people and developing relationships
  • Substantial computer experience with an emphasis on Microsoft Office software, especially Microsoft Outlook
  • Experience with web-based platforms to streamline the management of business data
  • Preferred experience with Skype for Business
  • Ability to plan, organize and meet multiple demands simultaneously
  • Ability to collect, coordinate and communicate information and data
  • Experience with planning meetings and events
  • Excellent interpersonal, verbal and written communication skills
  • Ability to work independently
  • Proven experience working with a diverse group of external contacts as well as staff at all levels of the organization
  • Composure, professionalism, good humor and a willingness to do what the situation requires to make the Board, the CEO and PCC successful
