We are seeking a Full-Time Contract Administrator/Executive Assistant to our CEO for our Administration Department to ensure that we continue to provide all patients with high quality, efficient care. Frankfort Regional Medical Center (FRMC) is a 173 bed, acute care facility, Level III Trauma Center, Primary Stroke Center, and Accredited Chest Pain Center. We primary serve the areas of Franklin, Anderson, Owen, Woodford, Shelby, and other surrounding counties.

SPECIFIC ELEMENTS AND ESSENTIAL FUNCTIONS OF THIS ROLE INCLUDE:
  • Schedules appointments, meetings, conference calls and commitments and reminds the Administrative Team.
  • Demonstrates a high degree of accuracy and attention to details at all times.
  • Deals with many non-routine matters, must be able to interpret and respond to questions, requests and demands in a pleasant manner.
  • Readily accepts special assignments or provide assistance when requested to include assistance to the Administrative Team.
  • Has the ability to work under stressful circumstances and conditions characterized by frequent interruptions.
  • Is well organized and copes well with extremely heavy workloads and frequent excessive time demands.
  • Acts in the public relations capacity in dealing with various categories of people. Many contacts with important people necessitate handling all situations with diplomacy and tact.
  • Telephones are answered within three rings in a courteous manner. Messages are relayed accurately and promptly.
  • Provides appropriate follow-through if the call is not returned by the expected deadline or offers personal assistance to caller.
  • Greets visitors in a cordial and professional manner, the purpose of the visit is determined and the visitor is referred to the appropriate person in Administration or elsewhere in the hospital.
  • Visitors are greeted with a nod and a smile, acknowledging, his/her presence whenever on the phone or busy with another customer and unable to verbally acknowledge presence.
  • All arrangements for travel and meetings are completed and tickets and itineraries are provided to attendee prior to departure.
  • Error-free typed material is prepared in a timely manner.
  • Prioritizes work assignments appropriately.
  • Turn-around time for normal office work is within two days or less for urgent requests.
  • Meetings are scheduled; agendas and related materials are prepared and distributed.
  • Meetings for FRMC staff and community are scheduled with specific attention to accommodations when conflicts arise. Maintains four facility meeting room calendars to schedule meetings and educational trainings.
  • Good communication is established between Administration, department managers and the public. All information is communicated within a time frame pertinent to its content and urgency.
  • Assists Administrative team with yearly Hospital Business Plan development if needed.
  • Web-casts: Coordinates with IT&S and attendees.
  • PAS Checks: Stamp checks and place in PAS mailbox.
  • Orders office supplies at company’s online site for the Administrative office. Send packages as requested through company’s online FedEx site.
  • Maintains files as requested by Administrative Team.
  • Mail: Distributes incoming and outgoing daily mail; open, sorts and screens mail; maintains order and cleanliness of mail room. Updates individual slots and lists as needed.

Qualifications

EDUCATION:

  • High School Diploma or Equivalent (preferred)

EXPERIENCE:

  • 3 + years of related experience (required)

HOURS:

  • Full-Time
  • Monday-Friday
  • No Weekends
