The purpose of our Shelter Manager is to oversee the daily operations of the kennel, cattery, and support staff to ensure all animals in the shelter’s care receive the expected quality of care our organization is known for. This individual is responsible for overseeing training of all new Animals Care Providers and volunteers, on our cleaning protocols. This position will report to the Executive Director, works alongside the Shelter Veterinarian, Animal Care Providers and Volunteers to contribute to the overall efficiency of the organization and achieve our mission.

The Shelter Manager works with a broad array of people within established animal care and facility protocols to continually improve the organization’s care, achieve the shortest length of stay in the best interest of each animal that comes to HBPets, and participate actively in humane education activities.

The ideal candidate will be passionate about animal welfare with a track record of being highly reliable, personable, and detail-oriented, including: 1) experience working with animals in a shelter and/or medical setting; 2) an educational background in a closely related field; 3) proven interpersonal, team and conflict management skills; and 4) strong computer skills.

Duties & Responsibilities

The Shelter Manager is responsible for daily operations of our animal shelter and animal care program including, but not limited to:

  • Communicate effectively and on a daily/weekly basis with Executive Director, Animal Care Providers and the Shelter Veterinarian of any concerns regarding animals in HBPets care.
  • Effectively coordinate scheduling conflicts for request of forms, terminations, and new hires.
  • Implement training for each position within the shelter
  • Supervise and work along with staff of approximately 4 employees including training, scheduling, delegation of tasks, evaluations of performance, and problem solving in a timely manner.
  • Communicate with YCSO and the McMinnville Police Department regarding dogs brought to the shelter through dog control.
  • Perform Kennel & Cattery duties as necessary.
  • Plan effectively to ensure that the staff has the necessary supplies on hand when needed while understanding the need to stick to a strict budget.
  • Process and manage inventory weekly which includes ordering medication.
  • Process bi-weekly staff time sheets and notes for the monthly board meetings
  • Improve processes and policies in support of organizational goals. Formulate and implement departmental and organizational policies and procedures to maximize output.
  • Monitor adherence to rules, regulations and procedures.
  • Ensure quality of care while managing employee productivity.
  • Manage maintenance of animal care equipment and shelter grounds.
  • Promote animals and have strategic placement of harder to adopt animals.
  • Fiscal management to adhere to yearly budget.
  • Oversee proper handling of monies received through adoption, surrenders and donations.

Qualifications, Applicants Must:

  • Be a self-starter with a lot of initiative, problem solving skills & the ability to work with minimal supervision.
  • Be an excellent communicator—both written and verbal.
  • Work well with a team.
  • Be a natural people-person & “cheerleader” who positively motivates others & has a knack for diplomacy.
  • Be flexible to work an occasional evening, weekends and holidays.
  • Have reliable transportation.
  • Be able to excel in a high paced work environment where you are surrounded by the distractions of animal sounds, smells and their respective allergens.
  • Remain calm in tense situations.
  • Ensure that staff and volunteers provide prompt, appropriately friendly and helpful service to each individual in person, on the telephone and at off-site events.
  • Be able to lift a minimum of 30lbs without health risk.
