Primary Objective: The employee receives (by phone, fax or email) orders, requests for quotations and lead times from customers & external staff. Ensures incoming orders are correct for production and relays pertinent order information between multiple parties. Makes quotations on standard items. Supports sales staff. Coordinates with other departments for processing & handling orders while providing feedback to customers.
Perform all roles and tasks promptly.
Principal accountabilities: * The first point of contact for sales related inquiries to Ohio
office.
- Incoming purchase order entry. Ensure all orders received are entered into the system accurately. Proactively seek clarification and resolutions to errors or changes.
- Liaise daily with production, customers and external staff customers to efficiently answer general enquiries concerning deliveries and production.
- Monitors progress of orders and pass notification of scheduling changes, partial shipments and delays via constant and open communication with production and customers.
- Creates new part numbers for products
- Develops understanding of components used in products for modifying BOM (bill of materials) within part numbers
- Develop understanding of product types, part numbers, valid hardware combinations and pricing.
- Effectively deal with telephone inquiries requesting quotations for products. Ensure all quotations are followed up when necessary.
- Achieves and maintains rapport with customers and works to give them the best possible service.
- Uses a CRM to retrieve customer information, stock status information, the status of quotations and to make changes on customer purchase orders.
- Maintain a level of pro-active telephone contact with both existing and prospective customers under direction from external sales staff and management.
- Ensure that the external sales team are kept informed of any developments relevant to their accounts.
- Works in tandem with external office locations to manage and control stock requirements.
- Expediting vendor orders for inventory and production management.
- Shipping and Receiving administration, pack slips, export shipping, processing.
- Report processing, orders process report, shipping status reporting, inventory reporting.
- Support the sales team and develop new sales.
- Meet and exceed the agreed specific performance objectives.
- Ensure all customer complaints, issues and queries reach a successful and appropriate conclusion. Where relevant, escalate matters to the Account Manager.
- Any other duties the support manager deems necessary
- Develop within role to a level to progress within the company, and train other staff of internal sales procedures
