THE POSITION
In this role, you will serve in the role of a strategic right arm to the CEO and participate in tracking, documenting, and progressing the company’s business operations. You will need to operate in lock-step with the CEO, being in synch with the CEO’s priorities and focus, and to help optimize the CEO’s time by performing various operational, business and administrative duties. Specifically, you will need to
- Maintain daily organization of all of the company’s operations, systems and processes.
- Handle correspondence on behalf of the CEO.
- Record and distribute minutes from weekly meetings.
- Coordinate on-site meetings with clients and partners as needed.
- Proactively spot opportunities to add value or take things off the CEO’s plate.
- Assist the CEO in all aspects of organizing the company’s various annual conferences.
- Participate in company-wide project management, including tracking daily deadlines and deliverables for the CEO.
- Research and create presentation materials (slide decks, blog posts) for the CEO.
- Research and create marketing materials, blog posts, survey articles for the CEO.
- Handle contracts and invoices
THE DAY-TO-DAY
- Maintain daily contact with the CEO on all matters.
- Respond promptly to CEO calls and inquiries.
- Attend and document stakeholder/client/partner/project meetings with the CEO.
- Attend and document meetings to represent the CEO, if the CEO cannot attend them and if the CEO is traveling.
- Handle the CEO’s substantive external and internal correspondence especially on Slack and JIRA.
- Provide timely minutes of all meetings, along with action items, to the CEO.
- Complete any action items requested by the CEO, as well as action items on behalf of the CEO.
- Provide an end-of-day summary of all of the company’s operations that were completed that day, and a forecast of the projects that need to be completed for the next day.
- Provide an end-of-the-week summary of all of the company’s operations that were completed, and a forecast of the projects that need to be completed in the week ahead.
- Maintain an up-to-date forecast and calendar of the company’s workload, deliverables, and deadlines.
- Prepare and track client contracts, statements of work, and invoices on behalf of the CEO.
THE REQUIREMENTS
- Bachelor’s degree
- Minimum of 4 years of providing administrative and operational support to senior executives.
- Mastery of written communication, with polished professional writing, and the ability to proof-read and craft company documents.
- Mastery of Google Apps for Business (Google Drive, Calendar, Gmail, etc.).
- Mastery of PowerPoint and Keynote.
- Familiarity with JIRA, Confluence, and similar project-management tools.
- Willingness and ability to work the unconventional hours of the sports industry, including weekends, evenings and holidays, when sports events occur and when company’s peak deadlines occur during such times.
- Experience with running events and conferences.
- Experience with resource planning, workload forecasting, and project management.
- Eligibility to work in the United States.

- Ability to use Photoshop or Sketch is a plus.
- Written and spoken fluency in Spanish is a plus.
- A technical or engineering background is a plus.
